Job Description
As the Event Services Coordinator, you will play a key role in coordinating event-related service activities before, during, and after events. You will work closely with venue operations, event organizers, supervisors, and service teams to ensure event spaces are clean, safe, fully staffed, and ready for guests.
You will support a variety of events, including conferences, trade shows, concerts, sporting events, banquets, galas, and special events.
Key Responsibilities

Review event schedules, floor plans, attendance projections, room sets, timelines, and operational requirements.

Coordinate staffing requirements based on event size, attendance, timing, venue requirements, and event complexity.

Prepare staffing schedules and deployment plans in partnership with the Site Director and Operations Supervisor.

Coordinate labour resources and supplemental staffing for peak periods, rapid turnovers, and concurrent events.

Participate in event planning meetings, operational briefings, and post-event debriefs.

Act as a key operational contact for venue representatives regarding cleaning and event service requirements.

Coordinate with security, food services, maintenance, event operations, and third-party service providers.

Conduct pre-event inspections to ensure spaces are clean, safe, and event-ready.

Monitor service quality throughout events and coordinate corrective action when required.

Track service requests, labour utilization, operational issues, and event-related activities.

Prepare post-event reports, service summaries, labour notes, and recommendations for improvement.

Track and verify client billables related to event services.

Support KPI reporting, audits, incident reporting, and operational documentation.

Promote compliance with company, client, venue, and health and safety requirements.

Support environmentally responsible practices, including waste diversion and safe chemical handling.

Escalate operational concerns and service issues to management as required.
Qualifications
-
Diploma or degree in Event Management, Hospitality, Business Administration, Facilities Management, or a related discipline is preferred.

Minimum 3 years of experience in event operations, venue services, hospitality, facilities management, commercial cleaning, or a similar environment.

Experience coordinating teams, schedules, resources, or operations in a fast-paced environment.

Experience working in a convention centre, arena, stadium, hospitality, or other large-scale public assembly environment is an asset.

Strong organizational and time management skills with the ability to manage multiple priorities simultaneously.

Excellent communication and interpersonal skills.

Strong problem-solving and decision-making abilities.

Proficiency with Microsoft Office and scheduling or operational reporting systems.

Strong attention to detail and a customer-service mindset.

Ability to work flexible hours, including evenings, weekends, overnight shifts, and holidays based on event schedules
