We are looking for a Receptionist/Office Assistant to provide reception, general and administrative support of office operations and perform a range of various entry level duties as assigned. The Receptionist / Office Assistant will be part of the Administrative Team and will be responsible to support the Property Management Team with a focus on customer service. The duties include but not limited to:
Reception
- Greeting residents and other visitors
- Handling various resident requests and complaints.
- Answering the Mitel telephone system and routing calls as well as voicemails.
- Receiving electronic documents and forwarding appropriately.
- Responding or routing all resident email communication.
- Handling all resident portal inquiries.
- Scheduling appointments and meetings for the Property Management Team.
- Receiving and managing incoming deliveries.
- Maintaining the reception area to create a clean and welcoming environment.
General Clerical
- Perform administrative and clerical duties including scanning documents, faxing, photocopying, electronic filing, data entry.
- Support the needs of Property Management and Administrative Teams as they relate to day-to-day operations, office activities and project work.
- Assist with administrative overflow and special projects and assignments as needed
- Assist in the preparation of reports, and spreadsheets as required, update project tracking sheets
- Handle and track all incoming and outgoing deliveries / couriers / mail.
- Maintain and monitor office equipment
- Other duties as assigned
Data Entry
- Tenant notes / Yardi memos
- Update tenant files in Yardi
Qualifications
Experience:
- Minimum grade 12 or equivalent
- Minimum 1year Receptionist /Office Assistant experience
- Experience working in a property management company would be ideal
Knowledge, skills, and abilities:
- Strong employee, peer, and client relationship building skills with a warm and genuine personality
- Strong oral and written communication skills
- Participation in company activities, public listings of our staff and company pictures on our website is expected.
- Well organized, attentive to detail, especially while performing repetitive tasks
- Skilled in establishing priorities, managing workload and time efficiently
- Self-motivated and able to work independently with minimal supervision
- High degree of discretion dealing with confidential information
- Intermediate level computer skills with working knowledge of Microsoft Word, Excel, and Outlook with typing speed of 50 wpm
- Knowledge of Yardi system an asset
