Job Summary
We are seeking a highly organized and professional Administrative School Secretary to join our school team. The ideal candidate will serve as the front-line representative, managing administrative tasks, supporting staff, students, and parents, and ensuring smooth daily operations. This role requires excellent communication skills, proficiency with office technology, and the ability to handle multiple responsibilities efficiently. Experience with medical or dental office procedures is a plus, along with strong data entry and clerical skills.
Responsibilities
- Job description: The School Administrative Secretary supports the principal and the Business Office in the operation and administration of the school campus.
- Manage the reception duties for the school in a friendly, professional manner.
- Primary responsibility for managing all student records, including paper and electronic files.
- Responsible for ordering supplies.
- Monitor and manage student medications.
- Take responsibility for daily attendance, including busing logs.
- Assist in booking of facilities and buses.
- Prepare and update bus schedules and information as necessary.
- Prepare bank deposits and record in Quickbooks.
- Monitor fees outstanding from school families and subsequent follow up in consultation with the Business Manager.
- Process expense reports submitted by staff for reimbursement.
- Administer Imprest account under the direction of the principal.
- Collect payroll information as needed and forward it to Central Office.
- Set up and maintain Student Cumulative Files.
- Track staff sick days, substitutes and related items.
- To be a support for administrators and teachers, ensuring tasks are completed efficiently.
Requirements
- Ability to work independently.
- Strong organizational skills
- Excellent writing and communication skills
- Excellent reception and customer service skills
- Understanding of PHIA and FIPPA and ability to maintain confidentiality
- Proficient in ICT including MS Office
- Working knowledge of Renweb or other database management programs.
- Working knowledge of Quickbooks or other accounting software.
- Ability to troubleshoot issues with office equipment including copier, laminator.
- Current First Aid training.
- Proven experience in office administration or clerical roles within an educational or medical setting preferred
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
- Demonstrated proofreading skills for document accuracy
Pay: $23.90-$30.88 per hour
