Job Summary
We are seeking a detail-oriented and friendly Dental Receptionist/Administrator lead to join our dental practice. The ideal candidate will be responsible for managing the front desk operations, ensuring a smooth and welcoming experience for our patients.

Monday and Thursday: 12pm to 8pm
Tuesday and Wednesday: 9am to 6pm
Saturday: 8am to 3pm (negotiable)

Key Responsibilities
Patient Relations & Front Desk Operations
- Warm Welcomes: Greet and assist patients warmly upon arrival per office protocols, creating a positive first impression and handling check-in procedures.
- Communication Management: Manage phone systems to handle incoming patient calls, inquiries, confirmations, changes, and cancellations effectively.
- Office Environment: Maintain a clean, organized, and well-stocked front desk area.
Appointment Scheduling & Flow Optimization
- Schedule Optimization: Optimize the daily appointment schedule to ensure full utilization with minimal gaps.
- Retention Management: Proactively manage potential cancellations, handle objections to encourage appointment retention, and effectively manage the recall system.
- Team Coordination: Coordinate closely with dental staff to ensure efficient patient flow throughout the day.
Financial & Insurance Management
- Billing & Payments: Complete patient billing post-treatment, process payments, and manage billing/fee inquiries professionally in accordance with office policies.
- Insurance Processing: Verify patient insurance information, ensure proper documentation is collected, and submit insurance claims.
- Accounts Receivable: Track, manage, and collect Accounts Receivable (AR).
- Financial Reconciliation: Track, add, and reconcile insurance checks within AbelDent.
Records & General Administration
- Data & Software Management: Maintain accurate patient charts and electronic medical records exclusively using AbelDent software.
- Correspondence: Process referral letters and other provider correspondence; organize, manage, and file all patient records.
- Administrative Support: Assist with general administrative tasks including filing, data entry, and correspondence as needed.
Leadership
- Team Leadership: Manage, motivate, and lead the dental office team.
Qualifications
- Experience: Previous experience in a medical or dental office setting is preferred; familiarity with front desk operations in a healthcare environment is highly desirable.
- Technical Skills: Proficiency in electronic medical records systems, with specific experience using AbelDent.
- Soft Skills: Excellent verbal and written communication skills with a strong focus on exceptional customer service.
- Work Style: A positive attitude, professionalism, and the ability to work collaboratively within a team.
- Efficiency: Ability to multitask and maintain strong attention to detail in a fast-paced environment.
