Position Summary
The Highway Driver Dispatcher is responsible for coordinating and managing transportation logistics for All The Way Trucking's domestic and cross-border operations. This role supports the efficient movement of freight between Canada and the United States by dispatching drivers, securing freight opportunities, coordinating return loads, managing customs documentation, and ensuring timely communication with drivers, customers, and regulatory agencies. The Dispatcher works closely with the Fleet Manager, drivers, seafood buyers, and third-party carriers to maximize fleet utilization and ensure exceptional customer service.
Key Responsibilities
Front Haul Load Management
- Collaborate with the Fleet Manager to assign drivers to All The Way Trucking runs, including Live Fish, Boston, Florida, and Montreal deliveries for Maximum Seafood.
- Secure outbound loads for southbound trucks travelling to Boston and Florida to maximize equipment utilization and profitability.
- Source, hire, and coordinate third-party carriers for northbound Florida freight when required.
- Ensure drivers submit Proof of Delivery (POD) documentation and all supporting delivery documents promptly upon completion of third-party customer deliveries through WhatsApp or other designated communication platforms.
- Assist with accounts receivable activities related to third-party customers by ensuring documentation is received and submitted accurately and on time.
- Monitor load status and maintain regular communication with drivers and customers to ensure service expectations are met.
Northbound Logistics Management
- Obtain driver assignments and trucking information required for return trips to Canada from the Fleet Manager or designated representative.
- Coordinate with the Fleet Manager, assistant, and drivers to determine delivery completion times and readiness for northbound seafood freight pickups.
- Obtain purchase orders, transportation documentation, Bills of Lading, and other shipment information from seafood buyers.
- Prepare and distribute shipment pickup schedules and load instructions to lead drivers.
- Submit Canada Customs Invoices to the Canada Border Services Agency (CBSA) to facilitate customs clearance prior to truck arrival at the Canadian border.
- Prepare and distribute ACI (Advance Commercial Information) manifests to CBSA and drivers as required.
- Monitor shipment progress and proactively address issues that may impact delivery schedules or border crossings.
- Complete additional logistics and dispatching duties as assigned by management.
Qualifications
Education & Experience
- High school diploma required; post-secondary education in transportation, logistics, supply chain, or business administration is an asset.
- Minimum 5 years of dispatching, transportation coordination, or logistics experience preferred.
- Experience with cross-border freight operations, customs documentation, and carrier coordination is considered an asset.
Knowledge, Skills & Abilities
- Strong understanding of trucking and transportation operations.
- Knowledge of Canadian and U.S. cross-border shipping procedures and customs requirements.
- Excellent organizational and multitasking abilities in a fast-paced environment.
- Strong communication and interpersonal skills.
- Ability to coordinate multiple drivers, loads, and customer requirements simultaneously.
- Proficiency with Microsoft Office applications, transportation management software, and communication platforms such as WhatsApp.
- Strong problem-solving skills and attention to detail.
- Ability to work independently while collaborating effectively with team members.
