Position Summary:
The Office Manager is a key leadership support role responsible for overseeing the administrative, financial, and operational functions of the company. As the central hub of the organization, the Office Manager ensures that office operations run efficiently, project documentation is maintained accurately, and team members remain accountable for their responsibilities and commitments.
This individual will work closely with the ownership team, project managers, designers, and administrative staff to drive operational excellence, maintain company processes, and ensure deadlines, deliverables, and administrative requirements are consistently met.
The ideal candidate is highly organized, proactive, detail-oriented, has a friendly and welcoming demeanor, and confident in holding team members accountable while fostering a positive and collaborative work environment.
Key Responsibilities:
Office Management & Administration:
- Manage daily office operations and administrative processes.
- Develop, implement, and maintain administrative systems, processes, and procedures.
- Manage office supplies, equipment, technology, and vendor relationships.
- Ensure company records, files, licenses, permits, and certifications are organized and up to date.
- Coordinate company meetings, staff functions, and internal communications.
- Maintain a professional, organized, and efficient office environment.
Team Accountability & Operational Coordination:
- Monitor and track organizational priorities, deadlines, and action items.
- Ensure team members complete assigned responsibilities, documentation, and administrative requirements in a timely manner.
- Follow up on outstanding tasks and commitments across departments.
- Maintain project tracking systems, operational reports, and accountability dashboards.
- Support leadership by identifying bottlenecks, missed deadlines, communication gaps, and process inefficiencies.
- Facilitate regular accountability and status meetings.
- Escalate unresolved issues or recurring performance concerns to leadership when necessary.
- Promote a culture of ownership, professionalism, and continuous improvement.
- Assist in developing and implementing standard operating procedures and best practices
Project Administration:
- Support project managers and design staff with project-related administrative requirements.
- Maintain project files, contracts, change orders, permits, and construction documentation.
- Coordinate permit applications, inspections, and municipal approvals.
- Track subcontractor agreements, certificates of insurance, and WSIB documentation.
- Support project scheduling, reporting, and document control processes.
- Ensure project records are complete, accurate, and accessible.
Client, Vendor & Trade Partner Relations:
- Act as a primary administrative contact for clients, vendors, suppliers, and subcontractors.
- Manage incoming inquiries and direct them appropriately.
- Support client onboarding and project setup activities.
- Maintain strong working relationships with vendors and trade partners.
- Ensure timely communication between office staff, project teams, and external stakeholders.
Financial Administration:
- Oversee accounts accounts receivable processes.
- Prepare and track invoices and change orders.
- Support budgeting, job costing, and cash flow tracking.
- Coordinate with external accountants and bookkeepers.
- Maintain accurate financial records and reporting documentation.
- Assist bookkeeper with accounts payable processes.
Human Resources Support:
- Coordinate employee onboarding and offboarding processes.
- Maintain personnel records, training certificates, and employee documentation.
- Assist with payroll preparation and benefits administration.
- Support recruitment activities and interview scheduling.
- Ensure compliance with company policies and employment-related procedures.
Compliance & Risk Management
- Maintain company insurance policies, licenses, registrations, and memberships.
- Support health and safety documentation and compliance requirements.
- Ensure company documentation meets regulatory and contractual requirements.
- Coordinate office and facility maintenance as needed.
Qualifications:
Education:
- Diploma or degree in Business Administration, Office Administration, Accounting, Construction Administration, or a related field preferred.
Experience:
- Minimum 5 years of office management, operations management, or administrative leadership experience.
- Experience in construction, design-build, renovation, or a related industry strongly preferred.
- Experience with bookkeeping, project administration, and process management is an asset.
Technical Skills:
- Advanced proficiency in Microsoft 365 (Outlook, Excel, Word, Teams, SharePoint).
- Experience with accounting software such as QuickBooks Online, Sage, or equivalent.
- Experience with project management and construction software is considered an asset.
- Strong reporting, record management, and organizational skills.
- Familiarity with Monday.com is an asset
