One Full-Time Contracted Board Office Administrative Assistant

28 – 35 hours weekly

(Open Position – 12-Month Maternity Leave Contract)

PURPOSE OF JOB:

All positions at The Protestant Separate School Board of the Town of Penetanguishene support the Board’s priority of providing an educational environment that encourages all students to achieve their full potential towards well-being – spiritually, academically, physically, and socially – in preparation toward becoming contributing members of society.

The Full-Time Contracted Board Office Administrative Assistant provides administrative services at the Board Office.

REPORTS TO:

The Manager of Finance and Treasurer. Duties are to be assigned by the Manager of Finance and Treasurer, in consultation with the Supervisory Officer.

DUTIES AND RESPONSIBILITIES:

  • Receive and direct phone calls;
  • Greet visitors to the Board Office;
  • Maintain confidential records and office files;
  • Open and distribute mail;
  • Review and edit reports;
  • Assist in preparing year-end documents for auditors;
  • Track day-to-day School and Board staff attendance;
  • Prepare correspondence for Board members;
  • Record and control accounts receivable and accounts payable;
  • Provide purchase orders and maintain vendor correspondence;
  • Update manuals as needed;
  • Assist in preparing agenda and Board packages for Board meetings;
  • Research and assist with the preparation of motions for Board meetings;
  • Recording secretary for Board meetings and preparation of minutes for submission to the Ministry of Education, Supervisory Officer, and Trustees
  • Assist with the preparation of new and revised policies;
  • Other duties as assigned.

QUALIFICATIONS REQUIRED:

  • A post-secondary diploma/degree and/or equivalent experience;
  • Knowledge of office administration and bookkeeping procedures;
  • Ability to maintain a high level of accuracy and confidentiality concerning financial and employee files.

SPECIALIZED SKILLS/EXPERIENCE:

The following skills will be considered assets:

  • Experience with QuickBooks accounting software;
  • Knowledge and experience with Windows 10;
  • A background in education and/or accounting, and knowledge of council and committee systems.
