Job Summary
We are seeking a highly organized and proactive Office Admin to join our team. The ideal candidate will manage daily administrative operations, be on call 24/7 to support team members, no overtime, and ensure the smooth functioning of the office environment. This role requires marketing, collections, sales, conflict resolution, excellent communication skills, strong organizational abilities, and experience in office management to facilitate efficient workflow and maintain a professional atmosphere.

- Oversee front desk operations

- Manage rental properties
- Pay bills
- Manage Insurance and compliance
- Handle clerical tasks such as filing, data entry, and maintaining organized records
- Manage vendor relationships and coordinate procurement processes
- Manage human resources functions including onboarding, training & development, and employee record keeping
- Support bookkeeping and payroll activities using QuickBooks or similar software
- Supervise administrative staff and coordinate team management activities
- Maintain office supplies inventory and manage vendor relationships for office needs
- Ensure proper phone etiquette and professional communication with clients, vendors, and staff
- Assist in budgeting processes and monitor expenses to stay within financial guidelines
- Support various administrative projects to improve office efficiency
- Skills
- Proven supervising experience with strong team management capabilities
- Proficiency in QuickBooks, bookkeeping, payroll, and vendor management software
- Extensive office experience with clerical and administrative responsibilities
- Excellent communication skills, both verbal and written, including phone etiquette
- Strong organizational skills with attention to detail in filing, record keeping, and scheduling
- Ability to manage multiple priorities efficiently in a fast-paced environment
- Experience with human resources functions such as onboarding and training & development
- Familiarity with multi-line phone systems and office technology tools
- Ability to work independently as well as part of a team while demonstrating professionalism at all times
- Competence in budgeting processes and expense monitoring
