Looking for an experienced Office Administrator for an HVAC Mechanical small business in a trades setting. The duties performed support the managerial staff and professional technicians in an "Essential Service" HVAC and Refrigeration Mechanical Industry.
The ideal candidate will have strong Accounts Payable skills, proficient computer skills and ready to learn new software. Mechanical systems Inventory and Purchasing a definite asset. Be experienced in a wide range of administrative, executive support related tasks and able to work independently with little or no supervision. This position requires a person who is exceedingly well organized, has strong time management and scheduling skills, able to work with frequent interruptions and enjoy the challenges of supporting a small business with a teamwork approach.

Responsibilities include: Phone and email message management on-oing daily to process incoming service calls and update/schedule technicians electronically in Smart Service Software. Accounts Payable, Inventory Management and Purchasing in Quick Books environment is required. Morning tailgate meetings to confirm status and time on previous days jobs. Manage Waitlist and PM jobs.
Prioritize service calls, schedule and confirm technicians/customer appointments.
Parts Inventory - Parts sourcing and ordering, issuing Purchase Orders and providing Estimate to Customer.
General Office Duties - Answer and relay telephone calls/messages. Customer Service, Reception, mail processing(virtual and regular mail). Greet customers and receive and process payments. Secure and schedule travel for Customer Site visits and book accommodations as well as ensure pre-authorizations and medical clearances have been met. Support and train technicians on electronic service software.
Requirements:
WORK HOURS: 37.5 WEEKLY
Experience in Mechanical Trade Industry an asset.
Strong computer software skills required.
Proven office administrator experience in a trades/mechanical setting is an asset.
Strong bookkeeping experience/knowledge required.
Able to work in team environment.
Critical thinking, able to work with minimal supervision.
Excellent time management skills, ability to multi task and prioritize work.
Attention to detail and strong problem-solving skills.
Excellent verbal and communication skills in English
Strong organizational and planning skills. Previous experience in Mechanical Trades is an Asset. Strong computer skills is an asset. Currently located in Yukon and available for immediate start and training is preferable.
Essential Software Experience includes: Microsoft Office, QuickBooks, Moneris Gateway and Digital Business Banking.
Asset Software Experience includes: Smart Service, Oasis, Service Channel, Corrigo Pro.
