Position Summary
The Executive / Personal Assistant provides comprehensive administrative and personal support to the two CEOs across business, personal, and investment-related activities.
The successful candidate will serve as a trusted partner who anticipates needs, manages competing priorities, and ensures important matters are executed efficiently with minimal supervision. The role requires exceptional organization, professionalism, discretion, and the ability to adapt to two executives with different schedules and working styles.
The ideal candidate is proactive, resourceful, detail-oriented, and equally comfortable coordinating high-level business initiatives and handling day-to-day administrative responsibilities.
Key Responsibilities
Executive Support
- Manage complex calendars for both CEOs, balancing competing priorities and resolving scheduling conflicts.
- Coordinate meetings, appointments, calls, and events across business and personal commitments.
- Prepare meeting materials, agendas, background information, and follow-up items.
- Ensure the CEOs are informed, prepared, and organized for upcoming commitments.
- Draft correspondence, presentations, and other documents on behalf of the CEOs, track action items and ensure timely completion.
- Serve as a professional point of contact for employees, investors, advisors, suppliers, and external partners.
Personal Administration
- Coordinate personal appointments, reservations, errands, and other confidential matters.
- Liaise with advisors, accountants, legal counsel, household service providers, and other personal contacts.
- Handle sensitive personal and business information with the highest level of discretion.
Travel & Logistics
- Coordinate domestic and international business and personal travel.
- Arrange flights, accommodations, ground transportation, restaurant reservations, and itineraries.
- Prepare detailed travel packages and adapt quickly to schedule changes.
Administrative & Project Support
- Prepare expense reports and organize supporting documentation.
- Assist with invoices, payment tracking, and basic bookkeeping activities.
- Maintain organized electronic and physical filing systems.
- Prepare reports, presentations, meeting notes, and executive summaries.
- Support special projects and strategic initiatives across the business.
Qualifications Required:
Experience:
- 3+ years supporting senior executives, founders, entrepreneurs, or business owners as an Executive Assistant, Personal Assistant, Chief of Staff Assistant, Family Office Assistant, or in a similar role.
- Demonstrated experience managing complex calendars, travel, communications, and executive priorities.
- Experience handling confidential personal and business matters with professionalism.
- Experience in apparel, fashion, consumer products, private equity, family offices, investment banking, M&A, real estate, or founder-led businesses is considered an asset.
Skills:
- Excellent written and verbal communication skills in English.
- Strong proficiency with Microsoft Outlook, Word, Excel, and PowerPoint.
- Comfortable leveraging AI tools to improve research, organization, drafting, and productivity while exercising sound judgment and maintaining confidentiality.
- Strong online research and information management skills.
- Ability to prepare concise reports, presentations, trackers, and executive summaries.
