We are seeking a talented, organized, and proactive Operations Assistant to support our chief of staff and executive team. This is an exciting opportunity for a motivated professional who thrives in a fast-paced environment and is passionate about supporting senior leadership while learning and growing within a dynamic organization. This person will report to the Chief of Staff.
What You’ll Do:
- Manage executive calendars, schedule and coordinate meetings.
- Provide clerical support: data entry, note-taking, filing, and document preparation.
- Deliver exceptional service to both internal and external stakeholders.
- Use tools such as QuickBooks, Google Suite, Microsoft Office (including Outlook Calendar), DocuSign, and Adobe.
- Maintain strict confidentiality of sensitive and proprietary information.
- Coordinate complex travel arrangements and prepare detailed expense reports.
- Travel with the executive team as needed.
- Record and distribute meeting minutes.
What You Bring:
- Minimum 2 years of experience as an Executive Assistant or in a similar administrative role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Strong organizational skills and the ability to manage multiple priorities effectively.
- Self-starter with the ability to work independently and with minimal supervision.
- Excellent written and verbal communication skills.
