Who We Are: Ktunaxa Kinbasket Child & Family Services (KKCFSS) is a non-profit Delegated Aboriginal Agency governed by the Ktunaxa Nation Council Social Sector Board. KKCFSS is available to Ktunaxa citizens, First Nations, Métis and Inuit living on and off-reserve in the Ktunaxa Traditional Territory.

The Opportunity: The Administrative Support position is responsible for providing direct administrative and operational support to KKCFSS. This position plays a key role in ensuring the smooth day-to-day functioning of the office and serves as a centralized, knowledgeable resource for record management, document handling, reception, technology and system support, event planning, and administrative coordination. This role requires the ability to manage multiple priorities in a fast-paced environment.
In the Role as Administrative Support, You Will:
- Answer the telephone and direct calls to appropriate personnel.
- Provide professional and respectful communication with staff, clients, and external partners
- Provide general office support including: typing, filing, data entry, maintaining office equipment, and recording incoming and outgoing mail.
- Support event planning and coordination for meetings, training sessions, and organizational functions
- Provide professional and respectful communication with staff, clients, and external partners
- Provide system support and troubleshooting on MIS, ICM and BP as required.
- Provide support for MIS, ICM and BP, as well as maintaining physical and electronic records, including file management, caseload tracking, and opening/closing files.
- Transcribe meeting minutes when required.
What You Will Bring to the Role:
Education and Experience
- Certificate in Office Administration (one year) preferred
- Minimum one year of office experience preferred
- Experience working in social services or with Indigenous organizations is an assets
Skills and Competencies
- Strong interpersonal skills, including tact, diplomacy, professionalism, and customer service
- Excellent organizational and multitasking abilities with strong attention to detail
- Strong records management and filing skills (electronic and manual)
- Keyboarding skills with proficiency in MS Word, Access, Excel (minimum of 40 wpm).
- Ability to handle sensitive and confidential information with discretion
- Ability to work effectively under pressure and manage changing priorities
- Self-motivated and proactive with a strong work ethic
- Strong communication skills (written and verbal)
- Ability to work collaboratively with team members and external partners
- Knowledge of and respect for Indigenous culture and values
- Valid driver’s license and reliable vehicle
