Job Summary:
We are seeking an organized and dynamic Office Manager to oversee the daily operations of our physiotherapy clinic. The ideal candidate will ensure the smooth running of the office, manage administrative tasks, and support both clinical staff and patients. You will be responsible for maintaining an efficient, welcoming, and professional environment, contributing to high-quality patient care.
Key Responsibilities:
Office Operations Management:
- Oversee the day-to-day operations of the clinic, ensuring all administrative tasks are completed efficiently.
- Coordinate clinic schedules, including patient appointments and staff shifts.
- Process patient intake, billing, and insurance claims in a timely manner.
- Manage clinic supplies and inventory, ensuring all necessary equipment and materials are available.
· Assisting in keeping the clinic clean and presentable.
· Picking up business mail
· Preparing deposits weekly
Patient Relations:
- Serve as the primary point of contact for patients, addressing inquiries, scheduling appointments, and handling any concerns.
- Ensure patient records are accurately maintained.
Staff Support:
- Assist physiotherapists and other staff by managing documentation, patient communication, and other clerical tasks.
Financial & Reporting Responsibilities:
- Monitor and manage clinic finances, including billing, invoicing, reconciling, and accounts receivable.
- Prepare financial and operational reports for clinic management to review.
Qualifications:
- Proven experience as an Office Manager, preferably in a healthcare setting.
- Strong understanding of healthcare administration, including scheduling, billing, and insurance processes.
- Excellent organizational and multitasking skills.
- Outstanding communication and interpersonal abilities.
- Proficiency with office management software and healthcare systems (EMR/EHR systems).
Education:
- Medical Office Assistant certificate or similar and/or experience in Healthcare Administration, Business Management, or a related field preferred.
- Experience in physiotherapy, medical, or healthcare offices a plus.
Skills:
- Strong leadership and problem-solving skills.
- Ability to work independently and manage time effectively.
- Attention to detail and high levels of accuracy.
- Customer service-oriented mindset with the ability to handle sensitive patient matters.
