The New Brunswick Institute for Research, Data and Training (NB-IRDT) is a research institute at the University of New Brunswick on the Fredericton campus. NB-IRDT provides a central location for researchers to access many provincial administrative data sets to facilitate research and answer questions that will empower government to stretch healthcare dollars, anticipate the needs of a changing population, and encourage growth. The Administrative Assistant provides administrative services with a primary focus on record keeping, organizing special events, assisting with financial services, and performing typical office duties including filing, editing, preparing documents and receptionist duties.
Representative Responsibilities
  • Coordinate and assist in conference calls, interviews, meetings, training sessions, and conferences.
  • Prepare, edit, format, and retain documentation including agendas, minutes, letters, spreadsheets, and reports.
  • Process UNB forms including travel, reimbursements, expense claims and purchase orders.
  • Allocate and monitor keys, hardware, and software distributed to faculty, staff, and students.
  • Maintain inventory of office supplies and equipment.
  • Keep staff and faculty apprised of policy updates and events.
  • Assist with the preparation of budgets, account reconciliation, project applications, and annual reports.
  • Maintain current policy documents, records of updates, and records of retention.
  • Respond to emails and phone calls as the first point of contact for NB-IRDT.
  • Assist in the preparation and implementation of promotional material for NB-IRDT.
  • Perform other administrative or general office duties as required.
  • Diploma in office administration or equivalent combination of education and experience with 3 to 5 years of related experience.
  • Excellent communication and organizational skills.
  • Demonstrated strong writing and editing skills.
  • Strong computer skills using Microsoft Office.
  • High level of accuracy and attention to detail.
  • Ability to prioritize and complete multiple tasks in a timely manner.
  • Ability to work in a team environment as well as independently with minimal supervision.
  • Ability to communicate in French (verbal and written) is an asset.
