Position Summary
We are seeking a detail-oriented and organized HR Administrator to join our team. This role is responsible for providing comprehensive administrative support to the Human Resources department while assisting with employee onboarding, benefits administration, safety reporting, travel coordination, and general office administration. The ideal candidate is highly organized, able to manage multiple priorities, and committed to maintaining confidentiality and accuracy in all aspects of their work.
Key Responsibilities
Human Resources Administration
- Prepare and maintain employee hiring packages and personnel files.
- Upload employee documentation into electronic filing systems, including Workhub and QuickBooks.
- Process Records of Employment (ROEs).
- Maintain employee records and ensure all HR documentation is accurate and up to date.
- Coordinate employee ticket and certification documentation.
Benefits Administration
- Administer employee benefit programs for both Canadian and U.S. employees.
- Track employee benefit enrollments and terminations.
- Process employee benefit changes and adjustments.
- Assist employees with Short-Term Disability (STD) and Long-Term Disability (LTD) claims.
- Maintain accurate benefits records and liaise with benefit providers as required.
- Monitor employee 401(k) administration through Gusto (minimal internal administration required).
Operations & Administrative Support
- Complete daily CAOEC tracking.
- Prepare and upload rig mail.
- Maintain well log documentation.
- Coordinate employee travel arrangements, including booking flights and car rentals.
- Order employee coveralls every 60 days.
- Assist with formatting company forms, documents, and templates.
- Provide general administrative support to the HR and Operations teams.
Safety & Compliance
- Compile and report safety statistics
- Assist with maintaining safety records and documentation.
- Coordinate and support the annual COR (Certificate of Recognition) Audit.
- Ensure documentation complies with company policies and applicable regulations.
Qualifications
- Diploma or certificate in Human Resources, Business Administration, or a related field is considered an asset.
- Minimum 2 years of administrative or human resources experience preferred.
- Strong organizational and time management skills.
- Excellent attention to detail and accuracy.
- Ability to handle confidential information with professionalism and discretion.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Experience with HRIS systems: Workhub, QuickBooks, and Gusto is considered an asset.
