Reporting to the Dean, the Business Administrator is responsible for the effective managing of the operations within the Faculty of Arts, Media and Design. The incumbent is responsible for the development of budgets, annual reports, quarterly budget reviews, variance reporting revenue projections and expenditure control. The incumbent also oversees the operating and capital budgets and provides analysis and reporting as they relate to college budgets. In addition, this individual is responsible for overseeing the SCWI (School College Work Initiative) year-end adjusting entries as well as the contract payment process for both the College and 2 other Colleges. They are also responsible for directing all planning and year-end work for both the WSIB and Second Career contracts. This includes working with College Finance and external auditors for all year-end questions and annual reports to the Ministry.
The incumbent provides direction in the financial administration for the Faculty’s academic programs and non-academic departments. The incumbent plans, develops, organizes, directs and controls the annual budget process for the department. The incumbent prepares and organizes materials for budget deliberations, sets budget targets, and creates and composes narrative details to describe budget changes. The incumbent is also responsible for the coordination of equipment purchases and inventory processes for the Faculty as well as keeping an inventory of the needs for dedicated classrooms. They act as a liaison with the Canadian Radio-Television and Telecommunication Commission (CRTC) and issue mandated reports on CKDJ, our Community Radio station.
The incumbent manages six (6) full-time and two (2) part-time Technical Support resources representing the Faculty computing support and requisitioning as well as two (2) equipment loan and requisition areas and a Broadcast Engineer assisted by a Program Support Officer.
In supporting the college’s strategic plan, the Business Administrator reviews and recommends improvements to business processes in all areas within the Faculty.
Three (3) or four (4) year post-secondary Business degree in Finance, Accounting or Business Administration, and possess a CPA designation (CGA/CMA/CA)
Seven (7) years of progressively responsible experience including financial planning, forecasting, general ledger, policy review and implementation, financial results review, analysis and presentation.
Demonstrated knowledge/experience in managing revenue and expenditures of a complex array of funding envelopes; including budget projections and overall accountability of departmental budgets
Demonstrated knowledge working with Ministry agreements and external contracts
Supervisory experience including hiring, assigning work, evaluating, performance appraisals, performance management, discipline, professional development, etc.
Demonstrated computer literacy and knowledge of information technology as it relates to Enterprise Resource Planning (ERP) Systems
Experience and demonstrated ability to provide fiscally sound guidance and advice
Experience organizing a heavy workload, setting priorities and meeting strict, non-negotiable deadlines
Experience and demonstrated ability to identify, implement and maintain internal controls and ensure compliance
Advanced Excel skills for budgeting and analytical analysis
Experience preparing and presenting information to senior management
Excellent interpersonal skills to deal with all levels of College operations on a daily basis
Experience working in post-secondary education would be an asset
Working knowledge of Algonquin College policies and procedures is considered an asset
