Position Overview: Reporting to the Human Resources Business Partner, the Receptionist is the first point of contact at the Aecon Industrial East (Brantford) location and will provide administrative support for the office. This position requires the ability to work independently, exercising judgment and initiative while projecting a tactful, diplomatic and professional approach at all times. Answer phones and attend to visitors at the front desk
Direct phone calls and visitors to the appropriate personnel
Keep the front entrance and reception area neat, tidy and presentable at all times
Provide assistance to, project and admin areas as requested
Coordinate office administration matters (e.g. janitorial services, social events, etc.)
Office coordination activities such as booking rooms, ordering catering etc.
Provide administrative support to Vice Presidents and other Executives
Co-ordinate schedules, appointments, reservations and travel arrangements (including flights and accommodation).
Reconcile monthly credit card statements
Enter employee expenses when required
Plan, organize and follow-up on details relative to offsite company functions including invitations, selection of menus, seating arrangements
Other related general administrative duties as required
Required Knowledge & Skills

Technical college or equivalent combination of education and experience preferred
1-3 years experience administrative experience
Advanced skills in Outlook with intermediate abilities in Word, Excel, and Power Point
Demonstrated ability to effectively work in a dynamic environment
Detail Oriented • Proven ability to effectively prioritize work flow
Excellent interpersonal, written and oral communication skills
Ability to exercise good judgment, show initiative and be proactive
Ability to confidentially handle sensitive information
