About the Role
Tender Treasures Montessori is seeking a highly organized and detail-oriented Administrative Coordinator to support the daily operations of our licensed child care centre. The successful candidate will work closely with the Centre Supervisor and management team to ensure smooth administrative operations, regulatory compliance, family communications, enrollment management, and staff support.
This position is ideal for someone with strong administrative skills who enjoys working in a fast-paced child care environment.
Key Responsibilities
Administration & Operations
- Provide administrative support to the school’s supervisor and office manager.
- Maintain child, family, and staff records.
- Prepare and organize licensing and compliance documentation.
- Assist with Ministry, Public Health, and York Regions reporting requirements.
- Monitor attendance records and child care management software.
- Manage filing systems and confidential records.
- Classroom support when required including but not limited to lunch coverage.
Family Relations
- Respond to parent inquiries by phone, email, and in person.
- Conduct tours for prospective families.
Compliance & Quality Assurance
- Assist with licensing inspections and audits.
- Ensure documentation complies with Ministry and regional requirements.
- Support health and safety record keeping.
Qualifications
- Registered Early Childhood Educator (RECE) in good standing with the College of Early Childhood Educators.
- Minimum 2 years of administrative experience.
- Experience in child care, education, health care, or another regulated environment requiring compliance with legislation, policies, and documentation standards is preferred.
- Strong knowledge of Microsoft Office (Word, Excel, Outlook).
- Experience with child care management software is considered an asset.
- Excellent organizational and communication skills.
- Ability to manage multiple priorities, meet deadlines, and maintain confidentiality.
Required Documentation and Certifications
- Current Police Vulnerable Sector Check (VSC) acceptable to the employer.
- Annual Offence Declaration (upon hire and annually thereafter as required)
- Current Standard First Aid Certification with CPR Level C
- Completed Health Assessment Form for Medical Clearance. Tender Treasures Montessori School will provide a Health Assessment Form, which must be completed and signed by your physician prior to employment.
- Proof of education and professional qualifications.
- Proof of registration with the College of Early Childhood Educators.
- Completed Child Care and Early Years Act (CCEYA) Certification.
