Position Summary and Job Magnitude
The Leasing Specialist supports the leasing operations of a portfolio of student housing and purpose-built rental assets across Canada. Working under the direction of the Regional Leasing Manager and in conjunction with each property’s on-site leasing team, this position is responsible for managing all inbound leasing inquiries, converting leads to leases, and ensuring exceptional customer service and consistency in the leasing experience across all assets.
This role requires strong communication skills, attention to detail, and a results-driven mindset. The Remote Leasing Specialist will manage online leads, conduct follow-ups, schedule on-site and virtual tours, and provide comprehensive support throughout the lead-to-lease process.
Essential Functions and Basic Duties
Leasing Operations
- Respond promptly to all prospect calls, emails, and online leads through Entrata and other lead management systems.
- Conduct outbound follow-ups with prospects to maintain engagement and increase conversion rates.
- Schedule and confirm on-site or virtual tours in coordination with property teams.
- Support the full leasing cycle from inquiry to signed lease, ensuring accuracy and compliance with company standards.
- Maintain detailed prospect notes, status updates, and communication logs in Entrata.
- Provide accurate information regarding property features, pricing, availability, and leasing policies.
- Support the execution of leasing incentives and promotional campaigns as directed by the Regional Leasing Manager.
Customer Experience
- Deliver professional, friendly, and timely customer service to all prospective residents and guarantors.
- Ensure a consistent and positive leasing experience across all assigned properties.
- Collaborate with on-site teams to provide seamless communication between virtual leasing support and in-person operations.
- Assist with virtual events, leasing campaigns, and other resident-facing initiatives to enhance brand engagement.
Marketing & Reporting
- Monitor property listings and ILS accuracy, ensuring all details are current.
- Track lead source performance and provide feedback on marketing effectiveness.
- Assist the Regional Leasing Manager with weekly and monthly leasing reports.
- Support social media and digital marketing initiatives as required.
Compliance & Administrative
- Ensure adherence to privacy laws, lease regulations, and company policies.
- Accurately process applications, review documentation, and confirm eligibility criteria as directed.
- Maintain organized electronic records and assist with reporting for management review.
Performance Measurements
Performance will be primarily measured evaluated on:
- Lead response time and conversion rates
- Accuracy and consistency in data entry and reporting

Qualifications
Education: Recognized College Diploma or University Degree
Skills/Abilities:
- Proven success in sales or leasing with strong closing ability
- Excellent verbal and written communication skills
- Strong organizational skills and attention to detail
- Proficient in Microsoft Office Suite and property management platforms (Entrata preferred)
- Ability to work independently and manage priorities in a fast-paced, remote environment
- Commitment to exceptional customer service and team collaboration
Experience Required: Minimum of 2 years industry experience or equivalent sales experience
