PURPOSE:
The Customer Service Administrator supports the Materials Management Supervisor and Manager to ensure an effective and highly Customer focused Supply Chain Operation. The CSA plays a critical role in the delivery of services on a daily bases and particularly during disasters, out breaks and other unforeseen events that may impact the hospitals ability to deliver patient care. Working closely with the Supervisor, the CSA must be organized, flexible and responsive to the needs of Senior Management, Nursing & related Clinical areas, as well as departmental staff.
KEY RESPONSIBILITIES:
The Materials Management CSA works closely with the Supervisor, ensuring the Materials Management Operations run smoothly and provides an overall positive customer experience. Ensuring inventory flow is managed efficiently by adhering to policies, as well as having the ability to generate new ideas to improve process effectiveness. A significant component is the coordination of cart review on a regular basis, involving reviewing inventory usage and data analysis, cost factors, and assisting Unit Managers in reviewing annual Supply Cart Usages.
Supports the Materials Management Supervisor/Manager in coordinating support staff ensuring that shift duties are assigned and completed.
Manage end to end processes at the cart level for the low unit of measure stockless program between the customer & the Warehouse, including analysis of usage/quota reports
Supports, encourages and provides direction to support staff; ensures/maintains an organized and efficient work area & ensures hand held devices (scanners) and related software are operational to perform daily tasks.
Manages internal stat stores inventory including all substitutions, management of inventory levels for unique items, as well as monthly reconciliation of book value to on hand inventory.
Responsible for year- end physical inventory count in Stat Stores & final reporting to Materials Management Manager.
Responsible for adjusting quota levels in consultation with customers & Top Up Staff.
Responsible for bar codes & coordinating the placement of b/c to the cart with Top Up Staff.
EDUCATION
At minimum, completion of a 2 year community college program or recognized equivalent, required.
Experience in a computerized Logistics Environment will be given preferential consideration
EXPERIENCE:
At minimum between 4 – 6 years of practical and related experience and/or 2 years on-the-job training, required.
Strong analytical and problem solving skills
Experience in hospital sector
Strong knowledge of SAP and MS Excel,Word.
Excellent written and oral communication skills including report writing and presentations.
Strong facilitation and team leadership skills
Vaccines (COVID-19 and others) are a requirement of the job unless you have an exemption on a medical ground pursuant to the Ontario Human Rights Code.
