Administrative Assistant (Part-Time)

St Genève is Canada’s luxury bedding manufacturer. We are making the highest quality down duvets, pillows, and bed linens. We’re looking for a detail-oriented Administrative Assistant to support our Down Department Director with day-to-day organization, follow-ups, and project coordination. There is some travel to Europe to tradeshows with our design team.
What you’ll be doing
This role is all about keeping things organized, moving, and followed through. You’ll help the department stay on top of priorities by handling tasks such as:
- Preparing meeting agendas, taking clear meeting notes, and summarizing action items
- Keeping track of open tasks and follow-ups, and creating a daily priority list for the Manager
- Following up with team members and suppliers to make sure tasks, updates, and feedback don’t get missed
- Supporting product development coordination, including supplier communication, sample follow-ups, quotes, and documentation
- Receiving, organizing, and tracking product samples
- Assisting with product testing (for example, washing/drying fabric samples and preparing items for external labs)
- Collecting internal testing feedback and following up when feedback is outstanding
- Some data entry into the system.
- Basic costing in a pre-formatted excel system.
What we’re looking for
- Good working knowledge of Microsoft Word and Excel
- Strong organization skills and a sharp eye for detail
- Excellent written and spoken English
- Someone who is comfortable with follow-ups, task tracking, and juggling multiple moving pieces
- At least 2 years of administrative experience is preferred.
Interview note
A basic Excel test will be completed during the interview. (5 -10 min)
Schedule
- Part-time: 25–30 hours per week
- Monday to Friday
- Start time between 8:30–10:00 AM
- Finish time between 3:00–4:00 PM
- Some flexibility available
