ServiceMaster Restore is looking for a Receptionist/Office Coordinator.
The Receptionist/Office Coordinator is the face of the company, allowing guests and staff to feel welcome, delivering a high standard of customer service and administrative assistance while overseeing the efficiency of the office.
Job Duties
- Answer, screen and direct all incoming phone calls. Relay messages accurately and effectively as required.
- Handle all inquiries from insurance companies, clients and vendors while providing timely and accurate information.
- Greet, sign-in and direct all visitors who enter the facility.
- Provide general office and administrative support such as scanning, data entry, faxing, photocopying, and maintaining spreadsheets.
- Ordering, monitoring and tracking office supplies.
- High volumes of accurate data entry to update and manage internal and external databases which include Encircle, Restore, Acumatica, XactAnalysis and Excel spreadsheets.
- Creation and distribution of weekly on-call schedule for Project Managers.
- Update and distribute contact lists and quarterly on-call price lists.
- Monthly review of Contractor Connection invoices for allocation to projects.
- Assist with collection of back-ups for legal files.
- Assist Project Coordinators with POs, work order creation, invoicing, collecting work authorizations and completion certificates.
- Train Project Coordinators on reception relief duties as required.
- Ability to work in a fast-paced, professional office environment with a sense of urgency while managing a high volume of phone calls and email correspondence.
- Demonstrate a high level of accuracy, attention to detail, organizational skills, ability to multitask and meet deadlines.
- Flexible, adaptable to rapid change and ability to prioritize.
- Flexible to work overtime (including evenings and weekends) as required.
- Handle additional assigned tasks as required.
Requirements
- 2+ years’ experience in Reception, Administration Assistant or related position.
- High school diploma or equivalent, certificate in office administration is an asset.
- Experience managing a multi-line telephone system is a requirement.
- Exceptional skills in Microsoft office programs including Word, Outlook and Excel Certification in Advanced Excel will be considered an asset.
- Effectively and constructively communicate with all types of staff, including technical, professional, and upper management with a collaborative approach.
- Must be professional, organized, efficient, diplomatic, establish and maintain collaborative working relationships.
- Extensive data entry experience with a high degree of accuracy.
- Knowledge of customer service principles and practices.
- Must be punctual, reliable and enthusiastic.
- A clear understanding of construction terminology will be considered an asset.
- Previous work experience within the insurance industry, construction, restoration or mechanical industry is considered an asset.
