Position Summary
The EMAR/Kroll Solutions Specialist serves as the bridge between the pharmacy and the retirement homes it services, owning the implementation, configuration, ongoing support, and end-user training of electronic Medication Administration Record (eMAR) systems and integrations with/optimization of the pharmacy management system (Kroll). Combining a solid understanding of healthcare workflows and medication administration processes with hands-on health informatics experience, this client-facing, detail-oriented role ensures accurate medication documentation, safe patient care, and the successful adoption of eMAR technology across all client sites.
Key Responsibilities
eMAR Implementation & Configuration
● Lead the setup, configuration, and go-live of eMAR platforms (e.g., PointClickCare, Yardi, Med-e-Care) at new and existing retirement home sites.
● Map pharmacy dispensing workflows to eMAR administration schedules so that medication records align with cycle fills and compliance packaging.
● Configure user roles, medication pass times, and site-specific settings in accordance with each home's clinical requirements.
● Coordinate the interface and data flow between the pharmacy dispensing system (Kroll) and client eMAR / EHR platforms.
Client Support & Troubleshooting
● Act as the primary point of contact for retirement home staff on eMAR-related questions, issues, and enhancement requests.
● Diagnose and resolve software, interface, and data-synchronization issues, escalating to vendors or IT as required.
● Monitor medication record accuracy and proactively identify and correct discrepancies between pharmacy records and the eMAR.
● Communicate clearly and professionally with clinical and administrative stakeholders at all client sites.
Training & End-User Enablement
● Develop and deliver training for nurses, personal support workers, and administrators on eMAR functionality and best practices.
● Create and maintain training materials, quick-reference guides, and standard operating procedures for end-users.
● Provide onboarding support for new client sites and refresher training following software updates or workflow changes.
● Support user adoption by gathering feedback and reinforcing safe medication administration documentation practices.
Compliance, Data Integrity & Quality Assurance
● Ensure eMAR configurations and documentation practices meet applicable regulatory, privacy (PHIPA), and clinical standards.
● Participate in audits, data reviews, and reporting to verify medication documentation accuracy and system integrity.
● Contribute to continuous improvement initiatives, workflow reviews, and process optimization projects.
● Maintain accurate records of implementations, configurations, and support activities.
Kroll Workflow Optimization
● Understand and optimize all Kroll configurations and workflows to assist the pharmacy in:
○ Maximizing prescription revenue
○ Optimizing paperless workflow
● Work directly with Kroll to manage API and all integrations
Working Conditions & Physical Requirements
● Client-facing role requiring frequent travel to retirement home sites across the service region.
● Combination of pharmacy-based and on-site work in fast-paced healthcare environments.
● Extended periods of computer-based work requiring sustained attention to detail.
● May require flexible hours to accommodate site go-lives, training sessions, and urgent support needs.
Qualifications & Skills
Education & Experience
● Background in nursing, pharmacy, or health IT, with a solid understanding of healthcare workflows and medication administration processes.
● Experience with health informatics and familiarity with eMAR software platforms and electronic health record (EHR) systems.
● Relevant certifications such as Health IT credentials or vendor-specific eMAR training are typically required or considered a strong asset.
● Prior experience in a retirement home servicing environment is an asset.
● Familiarity with Kroll pharmacy software-paperless workflow and compliance packaging.
