The Role
We are seeking a highly independent Executive Secretary / Administrative Lead to support our CEO and manage our Mississauga headquarters. This is first and foremost a heavy administrative execution role. We need a "doer"—someone who takes full ownership of the office, anticipates needs, and executes tasks without requiring constant direction. An HR background is a strong asset to help with secondary personnel tasks.
Primary Responsibilities
- Executive Support: Manage the CEO's administrative needs, scheduling, and confidential documentation.
- Office Management: Oversee daily administrative operations and document filing for the Mississauga HQ.
- Multi-Site Coordination: Act as the central hub connecting our 7 GTA locations.
- Global Liaison: Bridge communication between Canada HQ and international offices, specifically China.
- Autonomous Problem Solving: Manage your own desk and complex projects from start to finish.
- Local Logistics: Travel between local GTA offices using your own vehicle for business needs.
Secondary HR Assistant Tasks
- Personnel Support: Assist with recruitment, basic onboarding, and maintaining employee records.
Requirements (Must-Haves)
- Canadian Experience: Minimum of 3+ years of professional Canadian office experience is STRICTLY MANDATORY.
- Computer Skills: Excellent technical proficiency across software, spreadsheets, and digital office tools.
- Mobility: Valid driver’s license and daily access to a reliable vehicle for travel between GTA sites.
- Work Ethic: Extreme independence and the ability to work productively without supervision.
- Languages: High proficiency in English and Mandarin.
- HR Asset: Previous education or experience in Human Resources is highly preferred.

Pay: $24.00-$28.00 per hour
