DUTIES & RESPONSIBILITIES:
- Coordinate and schedule surgical/procedural bookings in Epic, ensuring all required information is complete and accurate.
- Review booking requests and required documentation for completeness, accuracy, and appropriateness prior to scheduling
- Liaise with surgeons' offices, clinics, and interdisciplinary teams regarding scheduling requests, changes, cancellations, and booking requirements.
- Manage schedule revisions, urgent additions, cancellations, and reallocations while balancing clinical priorities and resource availability.
- Responsible for all telephone communications; screening incoming inquiries.
- Monitor surgical and procedural schedules to identify conflicts, booking discrepancies, capacity concerns, and potential operational issues.
- Collaborate with clinical and administrative teams to optimize schedule utilization, patient flow, and access to services.
- Maintain and update scheduling records and booking information in accordance with departmental procedures.
- Communicate schedule changes in a timely manner to affected stakeholders.
- Review, validate, and reconcile completed surgical and procedural case records in Epic to ensure documentation accuracy, completeness, and data integrity
- Investigate, follow up on, and resolve discrepancies related to bookings, patient information, case documentation, and procedural records.
- Generate, maintain, and distribute reports required for operational, quality, and reporting purposes.
- Support departmental quality improvement initiatives through ongoing monitoring of scheduling practices and data accuracy.
- Maintain confidentiality and comply with hospital policies, procedures, and privacy legislation
- Participate in testing, implementation, and optimization of scheduling and information management processes within Epic and other departmental systems.
- Reviews completed surgical and procedural records to ensure all case information is accurately documented, reconciled, and captured within Epic for reporting and operational purposes; investigates discrepancies and follows up with appropriate stakeholders as required
- Acts as a resource to clinical and administrative staff regarding booking processes, scheduling standards, and Epic scheduling workflows.
- Performing general office and data entry duties when required.
QUALIFICATIONS:
- Medical terminology certificate required
- Recent Clerical/administrative experience in healthcare setting is required
- Demonstrated experience using Epic for surgical/procedural scheduling and case management required
- Strong attention to detail and commitment to accuracy
- Ability to manage competing priorities in a fast-paced environment
- Strong communication, interpersonal, organizational, and customer service skills
- Must be able to work independently and as part of a team and be able to prioritize workload and meet deadlines
- Excellent keyboarding/computer skills with a demonstrated attention to detail and a high level of accuracy
- Proficiency with Microsoft Office applications.
- Experience reviewing clinical documentation and ensuring data accuracy and completeness required
- Demonstrated record of reliable attendance, punctuality, and dependability in a professional work environment.
