Job Title: Volunteer Coordinator
Reports to: Executive Director
Timeframe: Continuing, full time (35 hours/week)
Degree of Supervision:
General Supervision: The supervisor provides continuing or individual assignments by indicating generally what is to be done, limitations, quality and quantity expected, deadlines and priorities. Additional, specific instructions are given for new, difficult, or unusual assignments. The employee uses initiative in carrying out recurring assignments. The supervisor assures that the work is technically accurate and in compliance with instructions or established procedures.

We build connections and empower individuals and organizations to enhance volunteerism and grow volunteer capacity. VL also supports the non-profit sector with access to quality training opportunities, expert advice, sector information, and sector advocacy.
Volunteer Lethbridge plays a central role in coordinating the desires of volunteers with the voluntary needs of non-profit VL member organizations. We communicate opportunities to the community along with the benefits of volunteerism. The person in this position will be aware of non-profit member organizations that are seeking volunteers, as well as any specific needs they may have. They will also receive inquiries from volunteers who may or may not know where they want to invest their time and talent. This position will continually add volunteers to the database of volunteers through the screening process. This position will work closely with the Membership Manager to place volunteers in positions requested by Volunteer Lethbridge member organizations.
Duties and Responsibilities
Outreach and Engagement:
- Promote volunteer opportunities on an ongoing basis to candidates at time of interview
- Communicate to the Membership Manager regarding the progress and outcomes of volunteer recruitment, screening, and placement
- Engage in and promote activities that positively influence volunteer and staff commitment to the organization, team, and assignments; participate in community initiatives as required
- Participate in community initiatives as required including attending fairs and other tabling events in rotation with team members
- Contribute to National Volunteer Week and other events, as needed
- Deliver community presentations, as needed
Volunteer Coordination
- Maintain and manage the volunteer database (Better Impact)
- Recruit and refer suitable volunteers internally, aligning individual capacities with placement requirements and position purpose
- Accept and meet volunteer applicants; support as required
- Review applicant applications for gaps, inconsistencies, and opportunities to leverage skills
- Determine, with the applicant, which volunteer opportunities their skills and abilities are best aligned with
- Conduct Enhanced Screening (police information checks) for volunteers as part of the placement process for member organizations requesting this service
Volunteer Opportunities Website, in collaboration with the Membership Manager
- Review pending posts for formatting and accuracy before publishing
- Draft inactive and full volunteer opportunities
CVMM Management
- Update the CVMM Manual and any related process guides annually
- Improve CVMM policies and procedures
- Determine and provide solutions for the model
Data Management
- Determine and provide solutions for Better Impact usage efficiency by utilizing AI programs
- Collect and interpret data from the completed volunteer application forms and the volunteer opportunities website
- Collect and interpret data for stakeholders and grant purposes
AI & Process Automation
- Leverage AI tools and agents (e.g., application-screening assistants, chatbots, intake automation) to streamline the volunteer application and intake process
- Use AI-assisted tools to help triage applications, flag gaps or inconsistencies, and match volunteer skills to open opportunities faster
- Pilot AI-enabled automation for routine tasks (e.g., responses to common inquiries, follow-up reminders, scheduling) to reduce manual administrative time
- Stay current on AI tools relevant to volunteer management and recommend adoption where they improve efficiency
Qualifications
Education
- Post-secondary education in Human Resources, Business Administration, Non-Profit Management, Communications, or a related field
An equivalent combination of education and experience may be considered
Experience
- One to two years of experience coordinating volunteers, employee engagement, community outreach, customer service, or program administration
- Experience working within a non-profit environment is considered an asset
- Experience supervising or leading volunteers or teams is preferred

- Knowledge of volunteer engagement best practices
- Understanding of confidentiality and privacy requirements
- Demonstrated interest in, and willingness to use, AI tools and agents to streamline volunteer intake and administrative processes; experience with AI-assisted workflows an asset
- Have experience using online platforms and learning new technological platforms (Better Impact experience an asset)

Working Conditions
The office is located at 324 – 5 Street South, Lethbridge, Alberta in the U of L Dr. Foster James Penny Building. Regular operating hours are weekdays from 8:30 a.m. to 4:30 p.m., although some flexibility is required for participating in scheduled activities or events. Due to an ever-evolving environment, the employee will also agree to the organization’s Work from Home Policy (approved June 2020).
