About BE Ultimate & BE Athletics

Founded in Vancouver, BC, we started as BE Ultimate — designing custom, performance-focused uniforms and apparel for Ultimate frisbee teams — and today we're growing into BE Athletics, our next chapter that brings the same craft, service, and teamwear support to more teams, programs, sports, and communities across the country. The Role
The Events and Marketing Coordinator plays a key role in bringing our brand to life through world-class events, compelling content, and seamless operational execution. Reporting to the Events Manager and Head of Marketing, this position supports both the Events and Marketing teams, helping create memorable customer experiences while ensuring projects are delivered efficiently and professionally. This is a hands-on, highly organized role for someone who thrives on juggling logistics, deadlines, and relationships.
What You'll Do — Events
- Coordinate logistics for events, including hotel bookings, rental cars, flights, product shipments, U-Hauls, storage, and everything else that makes an event run.
- Place orders and procure event-related items such as banners, flags, photos, and printing.
- Maintain clear communication with Event Partners to coordinate event logistics.
- Support event staff recruitment and hiring: job ads, event details, confirming availability, collecting contract staff information, and finalizing scheduling.
- Assist with merchandise and warehouse preparation, including packing pallets and organizing products.
- Support in-person event setup and takedown, customer service, POS, and actively engage in sales efforts during events.
- Book and hire photographers/videographers: outreach, coordination, contracts, scheduling, and communication — including keeping them informed on timing, locations, shot priorities, and schedule changes during tournaments.
- Coordinate pre- and post-event marketing content, including pre-event Instagram graphics, post-event online sale graphics, and post-event email preparation for direct-ship announcements.
- Support the Events Manager as needed.
What You'll Do — Marketing
- Coordinate photo/video shoot logistics: athlete confirmations, scheduling, travel, car rentals, food, accommodations, contractors, and post-shoot follow-up.
- Manage the socials calendar, keeping it organized and helping the marketing/creative team stay on track.
- Manage the marketing team's timelines, tasks, deadlines, and updates in Monday.com.
- Follow up with sponsored athletes, contractors, partners, and internal team members.
- Collaborate with the marketing and sales teams to plan and execute marketing campaigns.
- Assist with TikTok/Reels planning, filming, and posting as needed.
- Support the Head of Marketing as needed.
What You Bring
- 2+ years in events and/or marketing, with proven experience in event coordination and/or marketing coordination.
- Strong organizational and project management skills, with the ability to manage multiple priorities and deadlines simultaneously.
- Strong attention to detail and a commitment to delivering high-quality work.
- Excellent written and verbal communication skills.
- The ability to build and maintain positive relationships with vendors, event partners, sponsored athletes, contractors, and internal stakeholders.
- Strong time management skills and the ability to work independently while collaborating effectively within a team.
- Knowledge of digital marketing tools and platforms, Microsoft Office, Google Workspace, and social media management.
- Familiarity with social media platforms, content scheduling tools, and digital marketing best practices.
Nice to have: Experience coordinating marketing campaigns, content creation, or social media initiatives. A connection to or interest in Ultimate frisbee or team sport is a bonus.
