Reporting directly to the Director of Sales and working closely with internal and external associates, the Inside Sales Coordinator will work closely with our Product Line Managers (PLMs), sales teams, production, shipping and accounting departments to deliver best-in-class and timely service and assistance to all existing and potential customers. This position is the direct liaison with our outside customers and as such, the individual must represent the Lindsay brand in a positive and professional manner.
This is a 15-month contract position located in our Peterborough, ON manufacturing facility.
The following duties outline, but do not limit, the regular position requirements. These may be revised from time to time as business conditions dictate, at the discretion of the Director of Sales.
Respond appropriately to all emails on a daily basis and in a timely manner. Forward emails to sales, PLMs, technicians, etc. as required to best solve customer needs and questions (daily/timely)
Manage incoming phone calls, answer voicemails, and maintain phone system with clear understanding (daily)
Manage customer product returns/ repairs (RMAs) as per procedures (as needed)
Enter all purchase orders (POs) into Operations software (M2M) and Salesforce software (SF) per procedures ensuring all information is correct: pricing, quantities, addresses (ship to, bill to, and sold to), purchase order number, part number matches product description or product description matches part number. Establish delivery schedule. Correctly code all orders for territory, commission purposes, and product class (daily)
Interact with customers confirming receipt of purchase orders. Return a thank you for all orders with an expected delivery schedule, and provide updates and tracking information. Provide inventory levels, alternative products, special promotions and quotations (as needed)
Process special POs for customer evaluations and trade shows, ensuring Show/Sample Request form has been filled out correctly and in full. Include who is responsible for final inspection and when it must be at destination (as needed)
Work closely with Production and Shipping to communicate (email/phone/face-to-face) any changes to orders (ie. shipping times, product changes/cancellations on POs by customers, delays internally, etc. (daily)
Manage online ordering portals to retrieve customer POs and respond appropriately (daily)
Internal assistance to all departments as required (daily)
The following criteria are the minimum qualifications required for this position:
Minimum of two years hands-on sales and or customer service experience
PC-literate with strong working knowledge of Microsoft Outlook, Word and Excel
Manufacturing ERP/MRP and Salesforce CRM experience would be advantageous
Ability to work effectively as a team member while exhibiting strong multitasking abilities
Must be detail-oriented
Ability to remain calm under pressure and handle customer requests, questions, complaints and objections in a professional and courteous manner
