Overview
Good Manors Real Estate is seeking a driven, proactive Financial & Office Administrator who takes complete ownership of their work. You will serve as the operational engine of our office—anticipating business needs, keeping daily financial records accurate, keeping logistics on schedule, and maintaining an organized environment for our broader team.

Key Responsibilities
- Financial Administration & Invoicing: Proactively track, itemize, and invoice realtors for marketing assets and print collateral; monitor and follow up on overdue balances. Independently process invoice payments, staff expense reimbursements, mileage, donations, and recurring tax schedules/HST. Track agent commissions monthly, and organize monthly financial records for the external bookkeeper.
- Staffing & HR Support: Lead the onboarding process for new hires—setting up email accounts, completing payroll paperwork, configuring banking profiles, issuing office keys/alarm credentials, and training staff on basic office systems. Track time off, vacation, and sick days while handling initial HR questions.
- Listing Administration & Marketing: Post property listings to local buy/sell platforms; manage and boost social media ads as listings progress; track and bill media costs back to listings. Execute direct mail campaigns, log lead data into our CRM (Follow Up Boss).
- Facilities & Office Management: Take full inventory ownership—tracking yard signs, ordering supplies proactively, and picking up items before stock runs low. Coordinate general building maintenance.
Qualifications & Ideal Mindset
- Driven Self-Starter: High personal accountability, strong problem-solving ability, and a proven history of working autonomously without needing step-by-step supervision.
- Experience: 2+ years of experience in office administration, executive assistance, or bookkeeping support (real estate industry experience is a strong asset).
- Technical Skills: Proficient with spreadsheets (Excel/Google Sheets)
- Detail & Discretion: Flawless numerical accuracy, exceptional organization, and complete discretion when handling sensitive financial records.
Experience
- Proven supervising experience in an office or administrative setting with demonstrated leadership skills.
- Background in human resources functions including payroll processing, employee onboarding, and training & development initiatives.
- Demonstrated organizational skills with the ability to manage multiple priorities efficiently in a fast-paced environment.
- Experience performing basic bookkeeping tasks is highly desirable.
Pay: $45,000.00-$55,000.00 per year
