Black & McDonald is seeking a full-time Data Entry Administrator in Ottawa, Ontario. This position is responsible to assist in maintaining a productive and efficient facility maintenance operation and will report directly to the Division Manager. Training will be provided.
Duties and responsibilities include but are not limited to the following:
Maintain and operate Enterprise Resource Planning (ERP) system; manage work orders, create and maintain equipment history database, manage inventory tracking module, purchasing module, etc.
Assist in the creation, management, and receipt of Purchase Orders through ERP
Receive and validate vendor invoices, assist with accounts payable
Create and post monthly billings for all facilities, assist with account receivable
Post and validate all labour hours (time entry) by on-site trades to ERP for weekly payroll
Assist in running and preparation of site reports
Manage routine filing system of subcontract data and maintenance records associated
Respond to interdepartmental inquiries that require brief and non-technical information
Proofread work for errors and make appropriate corrections as needed
Creation of documentation such as client reports, presentations and proposals

SKILLS, ABILITIES, AND OTHER REQUIREMENTS
Post-secondary education in business/accounting is considered an asset
1-3 years' experience in accounting and or relevant financial management experience
Effective written and verbal communication skills
Strong technical skills in Excel and Word
Demonstrates ability to work in a multi-tasked, fast-paced and changing environment
Ability to work independently and with minimal direction
