Staff Plus is hiring a skilled Facilities & Office Services Specialist to join our client in a fast-paced environment at Markham. The successful candidate will be responsible for providing general office services, minor facility and office equipment maintenance, shipping and receiving in a small warehouse environment, and supporting building operations, safety, and security functions. This role reports to the Director of Human Resources.
Duties
- Handle incoming and outgoing shipments, including documentation for small parcels and service-related parts
- Coordinate the movement and tracking of HVAC surplus materials between 2 sites
- Prepare paperwork and organize courier pickups and deliveries as required
- Oversee and liaise with third-party contractors for building repairs and upgrades, including HVAC, electrical work, locksmith services, pest control, and fire protection systems
- Carry out routine upkeep tasks across 2 facilities
- Monitor and replenish office and common-area supplies such as boardroom, kitchen, and lunchroom essentials
- Investigate and resolve discrepancies involving service providers, invoices, quotations, payments, and billing issues
- Support office relocations, cleaning coordination, and general housekeeping initiatives
- Perform basic facility maintenance tasks such as clearing walkways during winter, replacing lighting, general tidying, and managing flag installations
- Assess workspace layouts and assist in planning office configurations to improve space efficiency, workflow, and ergonomic setup
- Participate as a member of the Joint Health & Safety Committee, ensuring compliance with safety standards and escalating concerns when needed
- Manage building security procedures, including arming and disarming alarm systems based on operational schedules
- Review surveillance footage and monitor security systems to identify and report unusual or unauthorized activity
- Provide guidance to employees on safe facility use, security awareness, and workplace best practices
- Conduct routine inspections of key access points such as loading docks, warehouse entrances, and secure storage areas
- Respond quickly to urgent facility or security-related issues as they arise
- Support additional projects and tasks as assigned
Qualifications
- Post-secondary education in Facilities Management, Building Operations, or a related field; equivalent experience will also be considered
- Certified forklift operator
- Solid understanding of building systems including heating, ventilation, and air conditioning, fire safety systems, electrical infrastructure, plumbing, and mechanical equipment
- 3–8 years of experience working in facility operations or warehouse environments with exposure to maintenance and shipping/receiving responsibilities
- Ability to perform basic calculations and communicate clearly in written form
- Comfortable using computers and Microsoft Excel
- Physically capable of lifting up to 60 lbs
- Able to work at elevated heights when required
- Willingness to work outside standard business hours when operational needs require
- Strong English communication skills, both written and verbal
- Professional, service-oriented attitude with strong interpersonal skills
- Certifications in HVAC, electrical, or plumbing fields considered an asset
- Familiarity with applicable workplace safety legislation, including the Occupational Health and Safety Act and related facility standards
- Additional safety certifications such as First Aid, CPR, and WHMIS considered an asset
- Valid driver’s license required
- 3–8 years of combined experience in facility support, maintenance, or warehouse operations involving light repairs and logistics tasks
