Summary
Prime Boiler Services is looking for a highly organized, detail-oriented Business Support – Department Assistant to support our Service team. This is a key operational role that keeps our service workflows moving. You will be the administrative backbone supporting service documentation, scheduling coordination, invoicing follow-up, and customer communication. If you thrive in a fast-paced environment, can switch between tasks quickly, and take pride in getting things right the first time — this role is for you.
Responsibilities
- Prepare work orders, purchase orders, quotes, and service documentation
- Collect, review, and enter timesheets and service data accurately and on time
- Maintain organized, audit-ready service records (inspection reports, photos, analysis reports, etc.)
- Ensure documentation follows established naming and filing standards
- Support compliance documentation and annual audits
- Scheduling & Coordination Support
- Provide backup dispatch and scheduling support as needed
- Coordinate travel arrangements for field technicians
- Maintain shared service calendars and visibility of scheduled activities
- Ensure technicians have required documentation in advance of jobs
- Invoicing, WIP & Follow-Up
- Communication & Front Desk Support
- Handle incoming customer calls, emails, and Teams messages
- Monitor and manage the service inbox
- Provide front desk and phone coverage as required
- Communicate professionally with customers, technicians, and internal stakeholders
- General Team Support
- Fast-paced environment with frequent interruptions
- Regular interaction with technicians, managers, and customers
- Extended computer and phone use
Qualifications
- 5+ years in an administrative or business support role
- Experience supporting service, field, or technical teams is an asset
- Contract administration experience is an asset
Education
- High school diploma required
- Post-secondary education in administration or related field is an asset
Technical Skills
- Strong proficiency in Microsoft 365 (Outlook, Teams, Excel, Word, SharePoint)
- Comfortable learning new systems quickly
- Experience with ERP or service management systems is an asset
