Duties
- Manage front desk operations, including greeting visitors, answering multi-line phone systems, and providing exceptional customer service
- Perform data entry tasks accurately using Microsoft Office applications, Google Workspace, and QuickBooks for bookkeeping and record-keeping purposes
- Maintain organized filing systems—both electronic and paper—to ensure quick retrieval of documents and compliance with record retention policies
- Support administrative functions such as scheduling appointments, coordinating meetings, and managing calendars
- Assist with billing, invoicing, and basic bookkeeping using QuickBooks or similar software to ensure financial accuracy
- Provide customer support by addressing inquiries professionally via phone or email, demonstrating excellent phone etiquette and customer service skills
- Conduct proofreading of documents, correspondence, and reports to ensure clarity and professionalism
Skills
- Proven experience with office administration or clerical roles, including data entry and filing systems
- Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Docs, Sheets), and QuickBooks
- Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment
- Experience working at a front desk or handling multi-line phone systems with professionalism and courtesy
- Knowledge of mechanical and electrical systems is a plus; familiarity with a mechanical or electrical contractor experience is advantageous.
- Customer service orientation with strong communication skills and proper phone etiquette
- Ability to handle sensitive information discreetly while maintaining confidentiality
