The Executive Assistant is integral to the success of the Pension Solutions team and to CAAT’s guiding mission and growth strategy.
We are looking for a self-motivated and professional Executive Assistantto directly support our Chief Strategy Officer. The successful incumbent will have a strong aptitude for task prioritization, the ability to adapt quickly to changing needs, and the ability to thrive in a dynamic organization that constantly evolves and adapts.
We are looking for someone with:
- A University or College degree with seven (7) or more years of experience supporting C-Suite Executives.
- Advanced computer literacy, MS Office Suite experience, skilled in developing presentation materials and digital tools experience including MS Teams, SharePoint, etc.
- Experience in writing and editing business documents, communications, and presentations.
- Experience executing and assisting with projects and special assignments by establishing objectives, determining priorities, managing time, monitoring progress, problem-solving, and adjusting plans.
- Adaptability, resilience, and resourcefulness to handle changing priorities along with the ability to create contingency plans as needed.
- Exceptional interpersonal, influential, verbal, and written communication skills.
- Experience in mentoring or supervising other administrative professionals is an asset.

- A calm and professional approach to resolving issues proactively.
- An ability to handle sensitive and confidential information with discretion and sound judgment.
Once here you will:
- Provide a full range of confidential administrative services for the Chief Strategy Officer ensuring quality service and professionalism.
- Schedule, prepare agendas, take minutes, and document action items at leadership team meetings, strategic sessions, and applicable boards the leader is involved in.
- Prepare and coordinate meetings and events such as town halls, leadership team meetings, offsites and other department-wide meetings.
- Prepare reports, presentations, communications, and documents relating to matters of sensitive nature on behalf of the Chief Strategy officer by identifying required information, conducting research, and utilizing appropriate sources as required.
- Manage, coordinate, and maintain a complex calendar with conflicting priorities.
- Coordinate extensive and sometimes complex domestic and international travel arrangements, hotels, and itineraries.
- Plan and coordinate for onsite and offsite meetings, meeting rooms, special functions, and events including logistics such as location, meals, technology, communication, materials, and RSVP’s.
- Oversee general office tasks, including coordinating catering services for meetings and events, as well as greeting and providing assistance to guests to ensure a welcoming and professional environment.
