Sincere Real Estate Services Ltd. is a rapidly growing full-service real estate company established in 2014, specializing in stratified residential communities, property management, leasing, and commercial real estate services throughout British Columbia.
We are seeking a dynamic, organized, and creative Real Estate Office Administrator to join our growing team. This role is ideal for someone who enjoys working in a fast-paced real estate environment and has strong administrative, communication, and marketing skills.
The ideal candidate is highly organized, detail-oriented, proactive, and comfortable managing both office operations and marketing initiatives. This position plays a key role in supporting agents, clients, vendors, and internal operations while helping strengthen the company’s brand presence and marketing efforts.
Key ResponsibilitiesOffice Administration & Operations
- Manage daily office operations to ensure an organized and efficient work environment
- Coordinate scheduling, appointments, meetings, and calendars for agents and management
- Handle front desk responsibilities, including answering phones, greeting clients, and responding to inquiries professionally
- Maintain filing systems, office records, and transaction documentation
- Assist with data entry, document preparation, and administrative support for real estate transactions
- Order office supplies and oversee general office organization
- Support onboarding and administrative setup for new agents and staff
- Coordinate with vendors, contractors, and service providers as needed
- Assist with marketing campaigns, office promotions, and community outreach initiatives
- Create marketing materials including flyers, brochures, presentations, newsletters, and social media content
- Use Canva or similar design platforms to create professional marketing graphics and promotional materials
- Assist with website updates, digital marketing, and online branding efforts
- Coordinate social media posting and marketing schedules
- Support event planning for open houses, client events, networking events, and company promotions
- Assist with property management administrative tasks
- Coordinate maintenance requests and vendor scheduling
- Support tenant and owner communication as needed
- Help maintain organized records related to leases, property files, and client communications
Qualifications & Skills
- Previous office administration experience preferred (real estate, property management, or related field is an asset)
- Strong organizational and multitasking skills
- Excellent verbal and written communication skills
- Professional phone etiquette and customer service skills
- Proficiency in Microsoft Office, Google Workspace, and general office software
- Experience using Canva for marketing and promotional materials
- Social media and marketing experience preferred
- Ability to work independently and as part of a team
- Strong attention to detail and problem-solving abilities
- Experience with QuickBooks, Buildium, or real estate software is an asset
- Real estate or property management experience is a plus

Education
- Bachelor’s Degree preferred
