The FINANCE ADMINSTRATOR performs full-cycle bookkeeping tasks and assists in the administration of the Association’s financial procedures and processes.
We are looking for someone with strong bookkeeping skills to maintain the Association’s financial records and to bring the Association’s books to Trial Balance. The successful candidate will have superior financial skills, direct experience working with financial systems and databases, and strong computer and organizational skills.
KEY TASKS:
· Preparing, processing and recording accounts payable, accounts receivable and payroll transactions in the Association’s manual and computerized finance systems according to established procedures and in compliance with IFRS and relevant legislation.
· Coordinating month and year-end procedures and bringing the books to Trial Balance, including preparing and/or posting journal entries, reconciling various asset and liability accounts and preparing various financial schedules.
· Coordinating the accurate production and timely distribution of various internal and external financial reports. Assisting in the analysis of financial performance.
· Assisting in the development of the Association’s annual operating budget and long-term capital budgets.
· Overseeing staff responsible for administering financial transactions relating to membership dues, engager accounts receivable (working dues, RRSP and benefits premiums) and security bonds and performing these tasks in their absence.
· Maintaining the integrity of the finance and payroll computer systems.
· Maintaining digital and manual filing systems including standing and fiscal year financial records and correspondence files.
· Assisting in the development and implementation of finance policies and procedures.
· Updating and maintaining finance policies, procedures and resource documents on the Association’s intranet.
· Providing staff with an orientation to finance policies and procedures and ensuring compliance.
· Assisting in the annual financial audit process by providing information and documentation requested by the external auditors and answering questions.
· Assisting staff, members and engagers to resolve issues relating to their financial transactions.
· Other related duties and projects generally considered to be within the job category.
QUALIFICATIONS:
· Post-secondary education, ideally relating to finance and accounting and/or business administration.
· A minimum of five years progressive bookkeeping experience, ideally in an arts, membership or labour organisation.
· Demonstrated acute attention to detail and accuracy.
· Strong analytical and problem-solving skills.
· Strong computer skills using advanced features of financial software (ideally QuickBooks Online) and MS Office Excel, and experience working with databases.
· Demonstrated organizational skills with the ability to multi-task and meet tight deadlines.
· A collaborative team player with excellent relationship management skills.
· Flexibility with the ability to adapt to change and shifting priorities.
· Ability to handle confidential matters.
· Ability to work independently and effectively with minimal supervision.
· Possess a strong member service attitude with the ability to work in a member-driven, not-for-profit environment.
The successful candidate will have a minimum of five years’ relevant experience. Preference will be given to those with a background in theatre, dance, opera, the arts and/ or labour. Please note that the successful candidate will be required to forego any active involvement (paid or voluntary) in organized activities where the Association’s membership may be under contract and will be required to complete a conflict-of-interest declaration to this effect.
The starting salary for this position is $79,087 per annum with an excellent benefits package including health and dental coverage, life insurance and long-term disability after the successful completion of three months of service, and a registered pension plan after one year of service. Equity offers a hybrid work environment; currently most employees are required to work a minimum of two days a week from the office although schedules are based on the tasks of the position, workflows and work loads, and exact schedules may fluctuate as determined by the supervisor.
