Position Summary
We are seeking a detail-oriented and organized Medical Office Assistant to join Dr Jonathan Reid’s busy ENT/otolaryngology office at the University of Alberta in Edmonton. The successful candidate will provide administrative support to ensure efficient patient care and smooth office operations in Dr Reid's ear, nose, and throat surgery specialty clinic.
Key Responsibilities
- Schedule patient appointments for consultations, procedures (surgeries), and follow-up visits
- Manage physician's calendar and coordinate with hospital schedules for operating days and clinics, as well as academic schedule including teaching sessions and research meetings
- Support patients with kindness and respect
- Process patient referrals from family physicians and other specialists
- Verify insurance coverage and obtain authorizations as needed
- Help to maintain accurate patient records using MedAccess and ConnectCare electronic medical record (EMR) systems
- Triage and answer email, calls, and voicemail inquiries
- Handle medical reports, correspondence, and documentation, including use of fax machine, scanner, shredder, photocopier, and printer
- Other relevant and appropriate duties as required

- Proficiency with EMR system (MedAccess and ConnectCare are an asset) and Microsoft Office Suite
- Working knowledge of medical terminology, knowledge of ENT-related terms is an asset
- Understanding of Alberta healthcare system and billing procedures
- Familiarity with surgical scheduling and coordination
Qualifications Education
- Medical Office Assistant certificate/Clerical diploma, or equivalent work experience is required
Experience
- One year of experience working in medical office environment as a medical receptionist or medical office assistant is required (Otolaryngology/ENT preferred, Audiology or Surgery experience is also an asset)
Working Conditions
- Part-time position: Minimum 3 Weekdays per week, 8:30 AM - 4:00 PM (22.5+ hours per week), with possibility for more available hours depending on the week.

Compensation & Benefits
- Starting at $27.00/hr, commensurate with experience
