Job Overview
We are currently seeking a Customer Service & Accounting Administrator to join our team. This role is a great fit for someone who is organized, detail-oriented, and comfortable balancing a variety of responsibilities. The successful candidate will provide support with accounts payable and receivable, assist with customer service for assigned accounts, provide reception coverage, and help with day-to-day administrative tasks.
What you will do:
- Greet visitors and assisting with general office inquiries
- Answer, screen, and direct incoming phone calls to appropriate departments or individuals.
- Process incoming orders by verifying that all details are accurate and consistent with prior quotes. Create jobs in ERP system, currently using JobBoss.
- Maintain all order tracking spreadsheets/databases, including cross-reference with all customer databases. Maintain pricing databases.
- Participate in production schedule discussions with General Manager and Production Supervisors.
- Support product shipping by creating bill of lading, commercial invoice, shipping labels, etc.
- Communicate with customers over production and order status.
- Use Microsoft Office programs and Job Boss software.
- Provide administrative support to the Accounting Department.
- File, scan, and organize paper and electronic documents.
- Perform data entry and maintain accurate records, including processing accounts payable and accounts receivable invoices.
- Assist with the preparation and processing of bi-weekly EFT and cheque payment runs.
- Provide administrative support to staff on day-to-day tasks.
- Assist with accounting and customer service projects and other related duties as required.
- Complete other duties as assigned
What you will need to succeed:
- Completion of Grade 12
- Comfortable using computers, including Microsoft Word, Excel, and Outlook.
- Business background or experience working in an office would be an asset
- Must pass security clearance screening under the Controlled Goods Program of the Defense Production Act
- Strong communication and interpersonal skills.
- Organized, detail-oriented, and dependable.
- Strong ability to prioritize tasks and manage time effectively
- Eager to learn and contribute as part of a team.
- Able to maintain confidentiality and demonstrate professionalism
