We are looking for a highly organized Part-Time Service Call Coordinator to support our service department by managing incoming service requests, coordinating technician schedules, and ensuring an exceptional customer experience.
This role is ideal for someone who enjoys customer service, multitasking, and working in a fast-paced environment.
Position Summary
The Service Call Coordinator is responsible for receiving service requests, creating work orders, coordinating technician schedules, communicating with customers, and ensuring service calls are documented accurately from start to finish.
You will serve as the communication hub between customers, technicians, property managers, and the service team.
Schedule: Part-Time (Approximately 20–25 hours per week)
Compensation: $22–$28 per hour, depending on experience
Location: Calgary, AB (Hybrid or Remote may be considered for the right candidate)
Key ResponsibilitiesCustomer Service & Call Coordination
- Answer incoming service calls professionally and efficiently
- Gather customer information and service details
- Determine urgency and prioritize requests appropriately
- Create and maintain accurate work orders in Simpro
- Schedule service appointments and coordinate technician dispatch
Customer Communication
- Confirm appointments and service windows
- Provide ETA updates and delay notifications
- Follow up on service requests as needed
- Maintain positive customer relationships
Dispatch & Scheduling Support
- Coordinate daily schedules for service technicians
- Monitor technician progress and status updates
- Assist with emergency and priority service requests
- Coordinate follow-up visits and return trips when required
Administrative Support
- Maintain detailed notes and job documentation
- Update service records and customer information
- Track outstanding follow-ups, parts requirements, and callbacks
- Assist with service department administration as required
QualificationsRequired
- Minimum 2 years of customer service, dispatch, scheduling, or administrative experience
- Strong communication skills, both verbal and written
- Excellent organizational and multitasking abilities
- High attention to detail
- Proficiency with Microsoft Office and cloud-based software
- Ability to remain calm and professional in a fast-paced environment
Preferred
- Experience in plumbing, HVAC, construction, property management, or trades services
- Experience using Simpro, ServiceTitan, Jobber, or similar service management software
- Dispatching or service coordination experience
- Familiarity with Calgary and surrounding areas
