Job Overview
We are seeking a detail-oriented and organized Office Assistant to join our team. This role is vital in ensuring smooth daily operations within our office environment. The ideal candidate will possess strong administrative skills, excellent communication abilities, and proficiency with various office software. Experience in medical or dental offices is a plus, but not required. The Office Assistant will handle a variety of clerical and customer service tasks, supporting both staff and clients to maintain an efficient workplace.
Responsibilities
- Manage front desk duties including greeting visitors and answering multi-line phone systems with professional phone etiquette
- Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks
- Assist with filing, document proofreading, and organizing office supplies to ensure a well-organized workspace
- Provide excellent customer support and service to clients and visitors
- Support bookkeeping and basic financial tasks as needed, including invoicing and record reconciliation
- Schedule appointments, manage calendars, and coordinate meetings for staff members
- Handle administrative tasks such as copying, scanning, and maintaining electronic and paper files
- Support medical or dental office operations if applicable, including patient check-in/out procedures
Qualifications
- Proven clerical or administrative experience, preferably in an office setting such as medical or dental offices
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and QuickBooks
- Strong computer skills with the ability to perform data entry accurately and efficiently
- Excellent organizational skills with attention to detail for proofreading and filing tasks
- Experience handling multi-line phone systems and demonstrating professional phone etiquette
- Ability to multitask effectively in a fast-paced environment while maintaining professionalism
- Strong customer service skills with a friendly demeanor
- Prior experience with bookkeeping or medical/dental office procedures is a plus but not mandatory
- High school diploma or equivalent required; additional administrative certifications are advantageous
