Position Overview
Infinite Outsourcing Solutions Inc. (IOS) is looking for a highly motivated, organized, and results-driven Onsite Recruiter to support one of our key client operations in Halifax, Nova Scotia.
This is a hands-on, high-volume recruitment and workforce management position. The successful candidate will be responsible for managing the complete recruitment lifecycle while supporting daily onsite workforce operations, including sourcing, screening, onboarding, scheduling, attendance management, employee relations, replacements, client communication, and workforce planning.
This position is ideal for someone who thrives in a fast-paced warehouse/logistics environment, takes ownership of results, and can effectively balance recruitment responsibilities with day-to-day client and employee management.
The Onsite Recruiter will act as the primary connection between IOS, our client, and our temporary workforce, with a strong focus on maintaining staffing levels, employee reliability, compliance, and client satisfaction.
Key ResponsibilitiesRecruitment & Staffing
- Manage the full recruitment cycle for high-volume warehouse, distribution, logistics, and general labour positions.
- Source candidates through job boards, social media, referrals, internal databases, community networks, and other recruitment channels.
- Conduct phone and in-person screening to assess candidate experience, availability, reliability, transportation, shift flexibility, and overall suitability.
- Maintain an active pipeline of qualified candidates and backups to respond quickly to changing client requirements.
- Coordinate interviews, assessments, orientations, onboarding, and employee start dates.
- Ensure staffing requirements are filled within established timelines.
- Proactively recruit ahead of anticipated workforce requirements rather than waiting for vacancies to occur.
- Develop recruitment strategies to improve candidate quality, attendance, retention, and overall placement success.
Onsite Workforce Management
- Maintain a strong daily presence at the client site and serve as the primary point of contact for IOS employees.
- Conduct employee check-ins and verify attendance at the beginning of shifts as required.
- Monitor daily attendance, late arrivals, absences, no-call/no-shows, and early departures.
- Immediately coordinate replacements when required to minimize operational disruption.
- Maintain adequate backup staffing for critical shifts and peak periods.
- Support scheduling and communicate shift changes, cancellations, overtime requirements, and operational updates to employees.
- Track employee performance, attendance, reliability, and assignment status.
- Conduct coaching and corrective conversations with employees when necessary.
- Support employee engagement and retention initiatives to reduce turnover.
Client Relationship Management
- Build and maintain a strong professional relationship with onsite client leadership, supervisors, and operations teams.
- Act as the first point of contact for daily staffing requirements and workforce-related concerns.
- Participate in daily or weekly client meetings as required.
- Obtain regular feedback regarding employee performance and service levels.
- Respond quickly and professionally to staffing shortages, attendance issues, employee concerns, and changing operational requirements.
- Provide proactive updates instead of waiting for the client to request information.
- Escalate significant operational, employee, safety, or service concerns to IOS management promptly.
- Maintain a strong understanding of the client's operation, productivity expectations, workplace culture, and staffing forecasts.
Attendance, Scheduling & Reporting
- Maintain accurate daily attendance and scheduling records.
- Reconcile employee hours and assist with weekly timesheet verification.
- Identify discrepancies before payroll and invoicing deadlines.
- Maintain accurate employee rosters, availability, shift assignments, and employment status.
- Prepare regular reports covering:
- Headcount and staffing fulfillment
- Attendance
- No-call/no-shows
- Turnover and retention
- Recruitment pipeline
- Open positions
- Replacements
- Employee performance concerns
- Upcoming workforce requirements
- Maintain accurate recruitment and employee information within company systems.
Onboarding & Compliance
- Ensure candidates complete all required onboarding documentation before starting an assignment.
- Verify employment eligibility and required documentation in accordance with company policies and applicable legislation.
- Coordinate site-specific orientation, safety requirements, PPE, policies, and training.
- Ensure employees understand attendance expectations, shift schedules, workplace rules, safety requirements, and reporting procedures before starting.
- Maintain accurate and confidential employee records.
- Support workplace investigations, incident documentation, and corrective actions when required.
- Ensure recruitment and employment practices comply with applicable Nova Scotia employment standards, occupational health and safety requirements, human rights legislation, and IOS policies.

- Reporting Accuracy: Timely and accurate attendance, staffing, and workforce reporting.
Qualifications
- 2+ years of recruitment experience preferred, particularly within staffing, warehousing, logistics, manufacturing, or high-volume recruitment.
- Previous experience working for a staffing agency or managing temporary employees is a strong asset.
- Experience managing high-volume recruitment and multiple open positions simultaneously.
- Strong understanding of sourcing, screening, interviewing, onboarding, scheduling, and employee management.
- Experience working directly with clients or operational leadership is preferred.
- Strong organizational and time-management skills.
- Excellent verbal and written communication skills.
- Ability to handle employee concerns professionally and confidentially.
- Strong problem-solving skills and ability to make timely decisions in a fast-moving environment.
- Comfortable working independently and taking ownership of onsite operations.
- Strong working knowledge of Microsoft Office, Google Workspace, ATS/recruitment platforms, and workforce management systems.
- Knowledge of Nova Scotia employment standards and workplace requirements is an asset.

Working Conditions
- This is a 100% onsite position in Halifax, Nova Scotia.

- Flexibility may occasionally be required based on employee start times, orientations, client requirements, peak periods, or urgent staffing situations.
- Candidates must be comfortable working in a fast-paced environment where staffing requirements can change quickly.
Compensation
Annual Salary: $50,000–$60,000, based on experience and qualifications.
