Overview
We are seeking a detail-oriented and organized Bookkeeper/Administrative Assistant to join our team. This role offers an excellent opportunity for individuals with strong office experience and a passion for administrative tasks. The ideal candidate will be proficient in various computer applications, have excellent organizational skills, and provide exceptional customer support. This position is essential in maintaining smooth office operations, managing financial records, and supporting daily administrative functions.
Duties
- Manage bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and financial reporting
- Handle data entry with accuracy and efficiency, ensuring all records are up-to-date
- Perform general clerical duties such as filing, scanning, and document management
- Greet visitors at the front desk and manage multi-line phone systems with professional phone etiquette
- Provide customer service support via phone and in person, addressing inquiries and scheduling appointments
- Maintain organized files both digitally (using Google Workspace and Microsoft Office) and physically
- Assist with administrative tasks such as proofreading documents, preparing correspondence, and managing calendars
- Support medical or dental office operations if applicable, including patient record management and appointment scheduling
- Ensure smooth office operations by coordinating with team members and supporting various administrative projects
Qualifications
- Proven experience with Office experience, including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace
- Proficiency in QuickBooks and general bookkeeping practices
- Strong computer skills with the ability to perform data entry accurately and efficiently
- Previous clerical or administrative experience, preferably in a medical or dental office setting
- Excellent organizational skills with attention to detail and accuracy
- Ability to handle multi-line phone systems with professionalism and courtesy
- Strong typing skills along with proofreading abilities to ensure error-free documents
- Exceptional customer service skills with a friendly demeanor and good phone etiquette
- Experience supporting front desk operations and managing filing systems is a plus
- Knowledge of medical or dental office procedures is advantageous but not required
