The West Island Palliative Care Residence is the largest freestanding palliative care facility in Canada, recognized locally, nationally and internationally as a leader and center of excellence in palliative care. Over the past 17 years, the Residence has cared for over 4,500 patients and 17,000 family members.

We are looking for someone to join our team to fill the position of Volunteer Program Assistant.

Role Purpose:

Reporting to the Volunteer Program Manager, the Volunteer Program Assistant is responsible for managing the day-to-day logistics of the Volunteer Program in order ensure that the program remains relevant to the needs of the Residence.

PRIMARY RESPONSIBILITIES:

  • Develop, coordinate, manage and communicate the schedules for volunteers (both short-term and long-term schedules), ensuring adequate daily services
  • Send out emails and/or makes calls to find replacements for last minute cancelations
  • Keep all relevant areas (i.e. reception, kitchen, nursing, etc.) up to date with schedule changes
  • Prepare and update work tools for volunteers (i.e. “today at a glance” sheets for reception)
  • Regularly update and maintain the volunteer program database
  • Maintain volunteer master contact list
  • Manage the Volunteer Program’s email account and respond to prospective volunteers
  • Complete administrative tasks to assist in the recruitment of volunteers
  • Provide administrative support to the Volunteer Program Manager, as needed
  • Assist in the orientation and scheduling of newly hired volunteers
  • Assist in the management of logistics for volunteer-related events

General Qualifications:

  • The ideal candidate will have a post-secondary degree or diploma
  • Experience working with volunteers, an asset
  • Excellent knowledge of MS Office and Outlook
  • Highly organized with meticulous attention to detail
  • Commitment to accurately represent the philosophy and the goals of palliative care
  • Strong organizational, planning and effective communications skills
  • Creative and ability to think outside of the box
  • Ability to multitask, manage competing priorities and work with deadlines
  • Ability to organize workload, establish priorities and work with minimum supervision
  • Ability to act on own initiative, exercise good judgement and manage expectations
  • Adaptability to change and to learn new skills as required
  • Demonstrated ability to work as a team player
  • Professionalism, maturity, diplomacy and discretion
  • Fluently bilingual with excellent communication (written and oral) skills in both French and English
