We are searching for a Medical Receptionist/Medical Secretary to support our HearCANADA Ottawa team at our Vanier HearCANADA/ENT office! This role is full-time and hours can fluctuate based on ENT hours but will typically range from 30-37.5 per week Monday to Friday. This role is part of the HearCANADA team but will support the ENT (Ear Nose and Throat) Specialists connected to our office and as such, is a Medical Receptionist/Medical Secretary position.
What you'll be responsible for:
- Answering high volume client calls
- Scheduling appointments and balancing schedules for the ENT office
- Collaborating with HearCANADA clinic staff for hearing-related referrals
- Checking in clients for appointments and validating information
- Maintaining physical and electronic medical records including filing
- Scanning and faxing documents
- Processing payments and third-party billing
- Delivering exceptional service to patients
What you'll bring:

Completion of secondary school; post-secondary education or courses in a relevant field such as Medical Terminology or Healthcare Administration would be a definite asset
- 2+ years of experience in a medical office/specialist/healthcare environment
- Experience using an EMR (electronic medical record) system; comfortability in learning and adopting new software and tools
- Experience with general administration including filing, ordering supplies, and handling third-party billing
- Excellent communication skills (oral and in writing) in the English language
- Bilingualism in French would be an asset
- Strong attention to detail and excellent typing skills
- Ability to work in a fast-paced clinical environment
- Discretion in handling sensitive and confidential information
- Valid work authorization to work in Canada is required
