Drive Efficiencies and Improve Processes
As a Corporate Records Administrator you will provide essential administrative support and fulfill a variety of departmental tasks and assignments to manage and maintain our corporate records. This important work will support our Dealers and ensure their day-to-day operations run smoothly. Led by the Manager, Corporate Records, this opportunity will suit someone who is an effective communicator with strong initiative, problem-solving skills, and a keen eye for detail.

- Maintain and disseminate a comprehensive list of conditions of approval based on approved applications.

Prepare and administer Dealer application transactions and terminations, including the preparation subsequent documents and correspondence.

Manage the submission of Dealer financial statements and provide monthly reporting.

Provide accurate equity confirmations and incentive loan balances to Dealers and their advisors.

Handle a high volume of emails and telephone inquiries by promptly responding and scheduling follow-ups efficiently.

Manage security documents, registrations, renewals, inventory repurchase agreements, and insurance certificates with precision.

Ensure proper setup and maintenance of electronic Dealer Documents.

Scan applications and security reports using consistent naming conventions.

Assist with various office duties including data entry, filing, scanning, and managing reports and Dealer files.

Maintain adequate office supplies through regular inventory checks and procurement processes.
We’re looking for:
- Bachelor’s degree or College Diploma in Business Administration or Legal Administration.

1-3 years of experience in commercial insurance, financial, or legal administration.

Ability to multi-task, prioritize, and complete tasks with utmost accuracy and confidentiality.

Strong mathematical skills.

Advanced proficiency in MS Word, Excel, and Outlook.

Excellent oral and written communication skills.

Effective time management skills and ability to meet deadlines.

Willingness to work overtime as needed.

Openness to cross-training for back-up support.

Ability to be onsite five days a week at our corporate office in St. Jacobs.
