The MOA is the administrative backbone of the practice — the first point of contact for patients and the coordination hub linking the clinic with hospitals, operating room and endoscopy booking offices, referring physicians, labs, imaging centres. The role blends front-desk patient care with surgical scheduling and EMR management in a specialized surgical practice.
This is a highly efficient, well-organized office that runs on streamlined, automated workflows — including AI-assisted document processing, automated patient reminders, and Ocean patient engagement tools. These systems handle much of the routine paperwork, so the MOA can focus on coordination, communication, and excellent patient care.
This role is a hybrid in-office / work-from-home position. The office is shared with several other surgeons and MOAs in a highly collegial and collaborative environment.
Key Responsibilities
Patient & Communication Support
- Answer and manage phone calls, voicemails, emails, faxes, and patient inquiries with courteous, clear, and professional communication.
- Coordinate patient appointments, follow-ups, investigations, and administrative requests.
- Triage administrative issues and escalate clinical questions, urgent concerns, or complaints to the physician or clinical team.
Scheduling & Surgical Coordination
- Schedule and coordinate clinic visits, operating room bookings, and endoscopy bookings.
- Liaise with hospital booking offices, OR and endoscopy teams, referring physicians, pharmacies, labs, imaging centres, insurers, and WSIB.
- Support patient preparation and administrative coordination for surgery, procedures, investigations, and follow-up care.
- Maintain calendars, appointment lists, booking documentation, and workflow trackers.
Records, EMR & Documentation
- Maintain patient records in Accuro (and related plug-ins): faxing, scanning, uploading, filing, and document management, supported by AI-assisted document processing.
- Manage incoming reports, referrals, consult notes, test results, operative reports, discharge summaries, and correspondence.
- Use automated patient reminders and Ocean patient engagement tools to keep patients informed and prepared.
- Prepare and update letters, forms, templates, and patient handouts; maintain office supplies and routine operations.
Pay: $25.00 per hour
