As Administrative Coordinator, you will provide a wide range of administrative services to support a highly integrated team at the University of Toronto Mississauga (UTM) Campus. As the first point of contact for general enquiries, you will support students,faculty, and leadership. Your commitment to achieving concrete outcomes will be critical to supporting ongoing initiatives across campus and hospital sites. Your ability to work with a committed core of stakeholders and your adeptness working within multiple environments are key to success. You will draw upon your strong problem-solving skills and technical proficiency to adjust to changing circumstances and to adapt to the latest technologies
Your responsibilities will include:

Acting as the first point of contact for general inquiries and resolving and redirecting issues as appropriate

Creating and editing communications content, including brochures, newsletters, websites
-
Scheduling meetings and coordinating committees, including agenda preparation, minute taking and following up on action items

Coordinating event and program logistics
-
Preparing presentations and reports and maintaining website content
-
Supporting facility and space planning
Essential Qualifications:
-
Advanced College Diploma (3 years) with a focus on business administration or acceptable combination of equivalent experience
-
Minimum three years administrative experience working in a university or hospital setting
-
Experience working in a medical education setting with an understanding of its applicable policies and procedures
-
Experience scheduling meetings and providing committee support
-
Experience drafting correspondence and communication materials and preparing presentations and reports
-
Experience coordinating events
-
Experience maintaining databases and generating reports, including compiling, sorting and organizing data
-
Advanced proficiency is MS Office Suite, content management systems
-
Excellent communication (written and verbal) and interpersonal skills
-
Strong organizational skills and an ability to work in a high volume environment that requires multi-tasking on varied duties and an ability to prioritize effectively and work under pressure

Accuracy and attention to detail are crucial

Ability to exercise good judgment and tact in dealing with faculty members, students and staff
-
Ability to accurately interpret and apply guidelines, procedures and regulations in a variety of situations and across a variety of platforms (university and hospital), and the ability to professionally communicate complex procedures
