About the Position
Nanda & Associate Lawyers is seeking a professional, warm, and highly organized Front Desk & Client Services Coordinator. As the first point of contact for our clients and visitors, you will play an important role in creating a welcoming and polished experience.
This position is ideal for someone who genuinely enjoys helping people, takes pride in maintaining an organized workplace, and can confidently manage several responsibilities in a busy professional office.
Key Responsibilities
- Greet clients and visitors warmly and professionally.
- Escort clients to the appropriate conference room and promptly notify the lawyer or staff member of their arrival.
- Offer clients and guests tea, coffee, water, or other refreshments.
- Ensure conference rooms are clean, presentable, properly stocked, and ready before and after meetings.
- Answer and direct incoming telephone calls and respond to general inquiries.
- Enter and update client and contact information accurately in the firm’s software.
- Accept payments by cash or credit card, issue receipts, and maintain accurate payment records.
- Keep the reception area, client areas, kitchen, and meeting rooms organized and presentable.
- Monitor and replenish kitchen items, refreshments, stationery, and general office supplies.
- Advise management when supplies need to be ordered or when maintenance is required.
- Receive and distribute mail, courier packages, and deliveries.
- Assist with the preparation, setup, hosting, and cleanup of firm seminars, client functions, and other events.
- Coordinate with lawyers, staff, vendors, and service providers as required.
- Perform general administrative duties and provide support to the office team.
- Help ensure that the front desk and client-service areas operate smoothly throughout the day.
Qualifications and Skills
- Previous reception, hospitality, customer-service, or professional-office experience is preferred.
- Excellent communication and interpersonal skills.
- Friendly, polished, dependable, and service-oriented.
- Strong organizational skills and attention to detail.
- Comfortable handling cash and processing credit-card payments accurately.
- Able to learn and use contact-management and office software.
- Able to prioritize tasks and remain calm in a busy environment.
- Willing to take initiative and assist wherever reasonably required.
- Professional appearance and conduct.
- Experience in a law firm, medical office, hotel, bank, or other client-facing professional environment is an asset.
- Flexibility to assist with occasional evening events is an asset.

The successful candidate will make every client feel welcomed and properly looked after, keep the reception and meeting areas consistently organized, communicate promptly with lawyers and staff, and take ownership of the overall front-desk experience.
