Administration Assistant – Maternity Leave Coverage
Location: Maple Ridge, BC
Terms: Temporary maternity leave coverage, approximately 22 hours per week, minimum 6-month contract from July 20, 2026 to January 20, 2027
Salary: $20/hr
Reports To: Executive Director
Position Summary
The Administrative Assistant provides comprehensive administrative and operational support to the Executive Director and plays a key role in ensuring the smooth day-to-day functioning of the Friends In Need Food Bank. This temporary maternity leave coverage position is for a minimum six-month term, effective July 20, 2026 to January 20, 2027.
This position goes beyond traditional administration, supporting communications, reporting, program coordination, and community initiatives that directly contribute to the organization’s mission of ensuring no one in our community goes hungry. The ideal candidate is highly organized, detail-oriented, adaptable, and comfortable working in a fast-paced, mission-driven environment.
Key Responsibilities
Executive & Administrative Support
- Provide direct administrative support to the Executive Director, including managing schedules, correspondence, and priorities
- Prepare and edit documents, reports, presentations, and meeting materials
- Coordinate meetings, agendas, minutes, and follow-ups
Grant Writing & Reporting
- Assist with grant research, writing, and submission processes
- Track deadlines and reporting requirements
- Support preparation of internal reporting, including the Hunger Report
- Complete and submit Food Banks BC (FBBC) and Food Banks Canada (FBC) monthly reporting
Communications & Digital Platforms
- Manage and maintain the CanadaHelps platform and donor communications/tax receipts
- Create, edit, and distribute newsletters
- Oversee and maintain social media channels
- Draft and proofread correspondence and communication materials
Program Coordination
- Coordinate the Home Delivery Program for clients with mobility challenges
- Organize and manage Outreach Hampers for partner agencies
- Support community engagement initiatives and partnerships
Client Services Administration
- Manage and maintain the client database, including registrations and re-registrations
- Ensure data accuracy, confidentiality, and compliance with reporting standards
- Hands-on front-line assistance as needed
Event Coordination & Community Engagement
- Assist in planning and executing fundraising events and community initiatives
- Coordinate logistics with partners, vendors, and volunteers
Office & Operational Support
- Maintain office systems, supplies, and overall organization
- Manage incoming calls, emails, and inquiries, directing appropriately
- Support general administrative and operational needs as required
Financial & General Support
- Assist with basic financial administration (invoices, expense tracking, reporting support)
- Support special projects and organizational priorities as assigned
Qualifications
- Diploma or degree in Business Administration, Office Management, Communications, or related field preferred
- Criminal records check with vulnerable sector application
- (not required until hired and to be paid for by the food bank)
- Minimum 2 years of administrative experience (non-profit experience considered an asset)
- Strong organizational and time management skills with attention to detail
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office Suite and digital platforms
- Ability to manage multiple priorities in a fast-paced environment
- High level of discretion and professionalism with confidential information
- Ability to work collaboratively with staff, volunteers, and community partners
