We are seeking a compassionate, dedicated and detail-oriented Optometric Assistant to join our eye care team. The Optometric Assistant plays a crucial role in the patient experience by conducting preliminary eye and vision tests to assist our optometrists in diagnosing and treating visual and ocular health issues. The Optometric Assistant is essential to providing the patient with their first interactions with medical equipment in our offices as well as discussing the importance of auxiliary testing such as digital retinal photos, OCT, visual fields, meibography.
Key Responsibilities:
Pre-Test Procedures:
- Greet and prepare patients for their eye examination with kindness
- Provide explanations and instructions to patients regarding the testing process and any necessary follow-up procedures, ensuring they feel informed and comfortable
- Collect and record comprehensive patient medical and ocular histories
- Know and advise patients of the fees associated with any non-OHIP covered auxiliary testing
- Perform various preliminary tests and screenings including tonometry, lensometry, auto-refraction, retinal photography, OCT (optical coherence tomography), visual field tests, meibography and other similar tests are per the direction of and under the supervision of a Doctor of Optometry
- Accurately import test results from auto-refraction, tonometry, lensometry and other similar tests into the patient health record in the EMR systems
- Operate and maintain optometric testing equipment, including autorefractors, tonometers, OCTs, retinal cameras, and visual field machines, ensuring they are in proper working condition
- Ensure data from specific auxiliary tests - retinal photos, visual fields and OCT are uploaded to the patient’s chart in the EMR and onto the NAS back-up hard-drive system
- Maintain efficiency in the pre-test and auxiliary testing rooms to assist in keeping patient care appointments on schedule
- Monitor the flow of patients in the reception and pre-test departments to accept patients when they are ready for pre-test, pushed back to pre-test, or note when the reception department may need assistance if patient has been marked as “arrived” for a prolonged period of time
- Coordinate with other team members to request support in the pre-test area in times of excess patient demand
- Adhere to infection control and hygiene protocols to maintain a clean and safe working environment
Administrative Support:
- Assist with delivery of patient appointment reminder calls and communications, as coordinated with the Medical Receptionists and Patient Care Coordinator
- Assist with push of patient recalls, as coordinated with the Medical Receptionists and Patient Care Coordinator
- Assistance with scheduling and rescheduling of patient appointments
- Handle incoming and outgoing mail and packages
- Scanning confidential patient, administrative or financial documents
- Regularly clean and maintain all pre-test equipment including but not limited to the retinal camera, all tonometers, OCT (optical coherence tomographer), visual field instrument and auto-refractors
- Replenish cleaners and cleaning supplies necessary for maintenance of all pre-test equipment
- Maintain the NAS (Network Attached Storage) IT system through regularly checking the integrity of recent data uploads and ensuring accurate communications with applicable pre-test equipment
- Assist with general office supply and product inventory
Office Coordination:
- Work closely with the Doctors of Optometry to ensure seamless patient care and support throughout their journey in the clinic
- Coordinate with other departments to support office operations
- Collect garbage and recycling from all office rooms and place in appropriate refuse areas at either the beginning or end of each shift
- Coordinate any maintenance procedures from external personnel required to maintain or update any pre-test or auxiliary testing equipment in collaboration with the Manager of HR & Operations
- Perform light housekeeping duties to maintain clean and organized common areas, staff areas, bathrooms and patient examination rooms
Pay: $18.87-$21.56 per hour
